About the role

We are seeking an Operations Assistant to provide effective support services for our property management functions. Your responsibilities will include assisting Operational Managers with portfolio support, maintaining long-term relationships with tenants, contractors, and operational staff, managing control schedules for insurance claims and reports, assisting with inspections, and coordinating services for equipment such as generators, fire systems, and electrical infrastructure. You will also support parking audits, follow up on contractor quotations, and prepare emergency flysheets for signatures.

What you will bring

Inherent requirements for the position (non-negotiable):

  • Minimum Grade 12 qualification with Accountancy as a subject
  • 1-2 years of relevant experience in Facilities or Operations Management
  • Experience in overseeing daily operations and coordinating team efforts

Additional demonstrable requirements:

  • Proficiency in MS Office (Excel, Word, PowerPoint), SAP, and MDA
  • Knowledge of quality standards and basic contract management
  • Experience managing SLAs with vendors and understanding lease conditions
  • Skills in administration, reporting, cost budgeting, and statutory compliance
  • Excellent verbal and written communication skills
  • Basic numeracy skills

What you will be doing

  • Create spreadsheets to monitor insurance claims and service schedules
  • Populate reports with photos and coordinate with Operational Managers for finalization
  • Manage service control sheets for generators, fire equipment, sprinklers, pumps, transformers, infra-red scanning, gutters, roofs, fencing, air-conditioning, and shutter doors
  • Remind Operational Managers to complete OHS inspections and record the completed tick sheets
  • Send out tenant letters with OHS documentation and follow up on quotations from contractors
  • Assist with general admin duties during emergencies or staff leave
  • Coordinate with external contractors and internal staff regarding building issues
  • Scan electrical compliance certificates into SAP and manage stationery stock
