Job summary

A manufacturing company in Durbanville is looking for an HR Officer/Generalist. The position requires more than 4 years of HR Generalist experience and familiarity with PaySpace is preferred. The HR Officer will be responsible for managing the hiring process, conducting exit interviews, and administering payroll, among other HR duties. This is a full-time, office-based role available from January 2025. Candidates should possess an HR Diploma or Degree and be computer literate.

Job description

HR Officer / Generalist required in Durbanville for a manufacturing company. Office based full day position. Position available from Jan / Feb 2025. Experience with PaySpace preferred.

  • Knowledge of Acts, Government Regulations, Industrial and Labour Relations and CCMA proceedings
  • Exposure or experience with PaySpace software
Duties and Responsibilities
Recruitment & Selection
  • Managing the entire hiring process.
  • Advertising positions internally and externally.
  • Receive and administer CV’s / applications.
  • Short listing applicants according to minimum requirements.
  • Schedule interviews, liaise with department / line managers.
  • Conduct relevant employment tests and analysis.
  • Issuing “Letter of Regret” to unsuccessful applicants.
  • Issuing “Offer of Employment Letters” to successful applicants.
Induction Process
  • Completing and issuing Employment Contracts, Standard Conditions of Employment, Behavioural Code, Company Vision and Mission, Job Descriptions and SOP’s.
  • Collect all personal information; copies of ID, Drivers Licences, Income Tax, Banking details etc.
  • Registration of employees on the time and attendance system.
  • Registration of employees on relevant benefit funds (Liberty, MIBFA & Discovery)
  • Issuing EEA declaration forms
Absenteeism and Leave Records
  • Identifying cause of absence from post absence forms.
  • Monitoring and analysing absenteeism patterns, counselling employees.
  • Keeping accurate attendance records.
  • Check leave balanced before issuing leave forms.
  • Ensure the leave register is accurately maintained.
  • Record manual timesheets.
  • Compile weekly and monthly summaries and distribute to department managers.
  • Maintain and update Time and Attendance System
Administer Payroll System
  • Collect and collate payroll information from department heads and time and attendance system.
  • Process and produce summary payroll reports for processing (Overtime, allowances, leave etc.)
  • Administer / update employee records on payroll system – additions, terminations, salary adjustments and personal detail changes.
  • Process monthly payroll records and produce payslips.
  • Handle staff queries regarding payroll
Progressive Discipline
  • Investigating alleged misconducts by gathering information.
  • Interpreting the type of misconduct and severity thereof.
  • Prepare all paper work to be issued – Discussions, Counselling, Warnings and Hearings.
  • Arranging disciplinary hearings with Alex Paterson.
  • Respond to and administer grievances in line with the grievance policy.
  • Keeping accurate record of disciplinary processes - issued and lapse dates
Exit Interview Process
  • Conducting exit interviews upon termination of employment.
  • Issuing Certificate of Service
  • Issuing UI 19
  • Finalise withdrawal documentation of provident / pensions funds.
Performance Management System
  • Assist and schedule performance reviews for new staff on contract or probation.
  • Assist line managers and supervisors with annual formal performance reviews / staff appraisals.
  • Review and improve systems to company needs.
Employment Equity
  • Equity Awareness Training to staff.
  • Development of Employment Equity Plan in line with EEA.
  • Schedule regular EEA committee meetings, document and minute.
  • Ensure committee members are nominated and selected to represent the entire workforce.
  • Submit annual employment equity reports
HR Audit
  • Regular check on actions required because of changing company priorities.
  • Regular check on legislation and statutory provisions.
  • Change in HR practises and systems.
  • Maintain HR information and payment systems.
  • Amendments to policies, procedures and rules.
  • Obtain and identify appropriate benchmarks for job descriptions, assist with writing thereof.
  • Ensure training was provided on amended policies and procedures.
  • Annual update of employee details and records.
General
  • Flash training staff on company policies and labour laws.
  • Arrange staff functions and team building events.
  • Staff Birthdays and Service Awards.
  • Co-ordinate and compile annual leave schedule at year end.
  • Developing and amending Company’s Employee Policies and Procedure’s Manuals.
  • Researching HR developments.
  • Researching policies, procedures and rules.
  • Compiling relevant consent forms when required.
  • Compiling relevant company forms when required.
  • Sit in on dispute meetings and compile and present minutes.
  • Safekeeping and filing / archiving of employee and HR records.
  • Ensure continuity of activities – i.e. EEA, Skills and Representative meetings
