Job description
Overview

Centre for Global Engagement (CGE) within Stellenbosch University International (SUI) has a position for a dynamic person to provide professional financial and administrative services to prospective and current semester mobility international students at Stellenbosch University. This support will be under the guidance of the Assistant Director: SUI Operations and Manager: SUI Services Centre.

Within CGE, the Unit for Student Mobility (USM) is responsible for incoming and outgoing student mobility: exchange programmes, Study Abroad programmes, and short programmes. The incumbent will be responsible for financial support services to staff, student financial administration for incoming mobility students, and travel bursary payments to outgoing mobility students.

Responsibilities
  • Assisting the Director: CGE and the Senior Programme Manager: USM with planning, budgeting, financial reporting and administration within the CGE.
  • Student financial administration for incoming mobility students:
    • Issuing invoices to students or Study Abroad providers according to applicable incoming mobility agreements (including AIFS and groups).
    • Communicating with incoming mobility students regarding their student finances (including during the semester welcome and orientation programme) and assisting with loading academic services.
    • Closing student accounts including collecting outstanding fees before the issuance of academic transcripts.
  • Financial support and advice services to USM staff (including cost centre management):
    • Processing invoices and requisitions, especially regarding incoming short programmes.
    • Processing lecturer payments via the HE system.
    • Preparing financial reports for USM programmes and projects.
    • Processing ad hoc financial administrative requests related to CGE (e.g., Global Week, Study Abroad Fair, and International Food Evenings).
    • Processing travel bursaries for outgoing South African students.
    • Ensuring that all financial activities comply with Stellenbosch University policies.
Job Requirements / Pos Vereistes
  • Relevant post-school qualification (B-degree or Diploma).
  • At least three years of experience in a university administrative environment.
  • Strong financial management, organisation and administration skills.
  • Ability to plan strategically, solve problems and manage large volumes of information with attention to detail.
  • Excellent time management and organisational skills with the ability to prioritise tasks.
  • Strong interpersonal and verbal and written communication skills.
  • Initiative and the ability to exercise good judgement and accuracy in work with minimal supervision.
  • Proven computer proficiency (MS Word, Excel, Outlook, Internet).
  • Ability to work effectively in a team.
