Job Description

Executive Assistant to the Chief Executive Officer (CEO) will be responsible for managing the CEO's complex calendar and daily schedule. This includes coordinating internal and external meetings, prioritising time‑sensitive appointments, booking venues and logistics, and ensuring adequate preparation time for each engagement.

The role also oversees all travel arrangements—both domestic and international—including itinerary planning, ticket bookings, accommodations, visa processing, and ground transportation.

Serving as the first point of contact for all communication directed to the CEO's office, the Executive Assistant receives, screens, and prioritises emails, calls, and messages. They will respond where appropriate, redirect inquiries to relevant departments, and ensure timely follow‑up while maintaining a high level of professionalism, confidentiality, and accuracy.

A critical part of the role involves preparing a variety of professional documents, such as internal reports, executive summaries, strategic memos, board briefing packs, formal letters, and visually appealing presentations. The Executive Assistant will ensure that all written materials are accurate, clear, consistent with ALGA's tone, and aligned with brand standards.

The Executive Assistant coordinates and manages all executive‑level meetings. Responsibilities include preparing agendas, assembling decisions and actions, and following up with stakeholders to ensure timely execution of deliverables.

Project management support is also a key function. The Executive Assistant will track project timelines and deliverables across departments—particularly compliance, IT, marketing, and operations—working closely with team leaders to monitor progress and flag potential delays or bottlenecks.

This includes maintaining dashboards or trackers, compiling status updates, and ensuring the CEO is briefed with current, accurate information.
