Job Description
An award-winning global accountancy and tax advisory firm is seeking a full-time, permanent Operations Administrator and Office Managerto provide operations and administrative support to the Head of Operations & HR Lead, and implement systems and processes.
Key Responsibilities:
- Diarymanagement for the Head of Operations, HR Lead and where needed any othermember of the team.
- Logisticsand day-to-day arrangements, including but not limited to: Organisation andrunning of in-person Learning & Development sessions, recruitmentactivities, interviews in the office, employee resource groups i.e. diversity initiativesand office socials.
- Operationalsupport for new joiners e.g., facilitating access cards, arranging andallocating parking spaces, liaising on first day logistics. This might involveliaison with property management team.
- Ad-hoc office management support, including but not limited to: Maintenance ofcanteen stock, room setup, additional room booking, liaison with the propertymanagement team.
- Workingalongside and supporting the HR Lead on HR administrative tasks.
- Where associated with courses or events organised,invoice tracking, review and liaison with the Finance Team on payment.
Requirements
- 2 - 3 years experience in an operations support rolewithin a professional services orcorporate environment .
- Demonstrated experience in coordinating office logistics, managing diaries, and supporting people or operationsprocesses .
- Experience supporting leadership teams with diarycoordination, meeting preparation, and communications.
- Proficient in Microsoft packages such as Outlook, Word, Excel and PowerPoint.
- Excellent verbal and written communication skills areessential including the ability to relate to people at all levels.
- Ability to multi-task, use initiative and to work well under pressure /to tight deadlines.
- Ability to manage assigned tasks in an assertive,efficient and timely manner.
- Excellentorganisational skills with the ability to effectively prioritise.
- Personable,but professional and able to keep information confidential.
- Strong team player – a spirit of co-operation and a positive‘can do’ attitude.
- Aculture of support and progression.
- This is a full-time position in Cape Town's CBD.
- After onboarding will move to a hybrid function (3 days on-site, 2 days remote).
- Working hours: 09:30 - 17:30, Mondays to Fridays, may vary depending on the need.
