Role Description

Reporting to the Office Manager, you will provide essential administrative support to senior leaders and the team, ensuring the smooth execution of office operations, meetings, events, and daily activities with accuracy and efficiency. This is an excellent opportunity for an organized and proactive administrator to gain broad experience in a responsible, hands‑on role covering a wide range of areas. The ideal candidate thrives in a busy professional environment and is comfortable working in a small entrepreneurial company. We’re looking for someone hardworking, observant, detail‑focused, with a strong sense of ownership, a mature outlook, and a positive attitude — someone ready to contribute to the firm’s success as a true team player.

We open to considering candidates in both Singapore and Hong Kong.

Key duties include, but are not limited to:

Business Operations and Office Management Support
  • Support daily office operations to ensure smooth workflow.
  • Manage scheduling, calendar coordination, room bookings, and meeting setups.
  • Oversee office supplies, equipment, and vendor relationships.
  • Prepare materials for meetings and presentations.
  • Assist with travel bookings and expense claim processing.
  • Arrange courier services and maintain filing systems.
  • Coordinate basic IT support and equipment tracking.
  • Support and coordinate office fit‑out works, liaising with contractors and ensuring minimal disruption.
  • Ensure compliance with company policies and health & safety standards.
  • Maintain office cleanliness and provide cover for the Office Manager when needed.
  • Provide ad‑hoc administrative support as required.
Event Management
  • Assist in coordinating team events and internal initiatives.
  • Support preparation for roadshows and client meetings, including logistics and venue arrangements.
  • Manage end‑to‑end event coordination and act as main contact.
  • Build and maintain supplier and venue relationships.
  • Oversee event execution, vendor liaison, and problem‑solving on the day.

  • Track event budgets and liaise with Finance on invoicing.
Recruitment Support
  • Assist with recruitment processes across Asia offices, coordinating with People team and stakeholders to schedule interviews and book meeting rooms.
  • Support work pass applications where needed.
  • Assist with onboarding new hires, scheduling induction sessions, and ensuring IT equipment is set up and desks are ready.
Other
  • Be responsible for ensuring all information security processes, policies and procedures are adhered to and any issues or concerns are raised with the Cyber Security team.
  • Ensure full compliance with all local data protection regulations and privacy controls, and any related issues are raised via the appropriate channels.
Key Requirements

This is a very hands‑on role. The successful candidate will ideally:

  • Have strong verbal and written communication skills, comfortable liaising with team members at all levels of seniority.
  • Be highly organized with strong attention to detail and resourcefulness.
  • Manage deadlines effectively and handle conflicting priorities simultaneously.
  • Be flexible and quick to adapt to changing situations.
  • Exhibit good problem‑solving skills with a calm, can‑do attitude.
  • Be a self‑starter who also thrives in a collaborative, team‑focused environment with an entrepreneurial mindset.
  • Have prior experience in a similar role, preferably within a corporate office setting.
  • Have a good working knowledge of Microsoft Office, especially Outlook, Excel and preferably PowerPoint, with a willingness to improve these skills.
