Overall Job Purpose:
The Assistant/Deputy Manager will support lease administration and management for Island properties, including managing rental arrears, generating reports, coordinating rent payments, and implementing lease management practices. He/she will also provide business and administrative support, manage tenancy documentation, and oversee appointed valuers.
Key Responsibilities
Business Support
Provide administrative support such as stamping legal documents, performing ACRA searches and processing valuation requests.
Lead and manage department budgeting and forecasting.
Support property tax calculations payable by tenants.
Manage and review tenancy agreement templates.
Manage tenancy and document management systems.
Lease Negotiation & Renewals:
Monitor collection and release of advance rentals, fitting out/security deposits, e-guarantees.
Manage and track the status of lease documentation.
Monitor and manage rental arrears with the Finance department.
Assist with chasers for arrears, including issuance of Letter of Demand, if necessary.
Generate reports on lease expirations, occupancy costs, and portfolio performance.
Coordinate with Finance to ensure accurate rent accruals and payments.
Lease Management:
Account manager for Hotels Island Partners and provide regular market updates for the hotel industry.
Manage appointed valuers in the leasing of the Island's properties.
Issuance and renewal of licenses.
Job Requirements(Qualifications, Knowledge & Experience Required)
Diploma/Degree in General Business Management, Real Estate, Finance or a related field.
At least 3 years of relevant working experience.
Proficiency in MS Excel (VLOOKUP, pivot tables) is essential.
Experience in lease management software and financial reporting tools is a plus.
Strong problem-solving abilities and capacity to identify opportunities to streamline lease administration processes.
General understanding of lease clauses and concepts of real estate laws.
Soft Skills: Detail-oriented, self-motivated, positive, resourceful, result-oriented and a team player.
