Event Specialist – Jeddah

(Short-Term Tournament Contract)

We are seeking a highly organised and proactive Event Specialist to support the successful delivery of a major international sporting event in Jeddah. This role is ideal for individuals with experience in event operations, ceremonies, media operations, broadcast coordination, or general event management. Key Responsibilities
Event & Venue Operations
  • Support daily venue operations, ensuring all event activities run smoothly and according to schedule.
  • Coordinate with multiple functional areas including logistics, accreditation, transportation, volunteers, technical teams, and venue management.
  • Assist with setup and breakdown of operational areas, working with vendors and internal teams.
  • Monitor event readiness, identifying issues and escalating them promptly for resolution.
Ceremonies, Media, and Broadcast Coordination
  • Work closely with ceremonies teams to support rehearsals, run sheets, talent movement, and timelines.
  • Assist media operations teams in managing media zones, mixed zones, press conference setups, and photographer movement.
  • Coordinate with broadcast teams on operational requirements such as camera positions, access control, and technical needs.
Stakeholder & Workforce Coordination
  • Liaise with contractors, agencies, venue teams, suppliers, and internal departments to ensure seamless event execution.
  • Support communications between on-site staff and management, ensuring all updates, changes, and instructions are clearly shared.
  • Assist in managing volunteers and temporary staff, providing briefings and on-ground guidance.
Event Documentation & Reporting
  • Maintain updated checklists, daily reports, incident logs, and operational updates.
  • Support the creation of event-time documentation including schedules, floor plans, contact lists, briefing packs, and operational plans.
  • Report any challenges or risks to the venue manager/operations lead in a timely and structured manner.
Guest & Participant Experience
  • Assist with the flow and movement of athletes, officials, media, VIP guests, and other stakeholders inside the venue.
  • Support hospitality and protocol teams when needed, ensuring smooth experiences for all guests.
Requirements
  • Previous experience in major events, sports events, ceremonies, operations, media/broadcast operations, or related fields.
  • Strong organisational and coordination skills with the ability to handle multiple tasks under pressure.
  • Excellent communication and stakeholder management abilities.
  • Problem-solving mindset with the ability to stay calm and efficient during high-pressure situations.
  • Flexible, proactive, and willing to work extended hours during event days.
