Project Management Responsibilities
- Develop comprehensive project plans, including timelines, milestones, resource allocation, and risk mitigation strategies to ensure project readiness.
- Coordinate closely with clients, internal teams, PICs, trainers, and stakeholders to align goals, clarify requirements, and maintain smooth communication throughout the project lifecycle.
- Oversee end-to-end execution of training and events, monitor progress through trackers and dashboards, and ensure all components (venue, tools, materials, and logistics) are properly prepared.
- Maintain strict quality control by reviewing training materials, deliverables, documentation, and post-event outputs to ensure accuracy and consistency.
- Identify potential issues early, manage escalations professionally, and implement contingency actions to ensure timely and successful project delivery.
Operations Responsibilities
- Manage full operational logistics, including venue setup, training materials, equipment, tools, printing needs, attendance systems, and session readiness for offline, online, and hybrid events.
- Provide technical coordination and on-site troubleshooting support to ensure smooth execution of training activities, workshops, seminars, and hybrid sessions.
- Handle vendor coordination, trainer support, registration processes, legal documentation, and other administrative requirements necessary for operational execution.
- Maintain complete operational documentation such as participant lists, reports, MoMs, archives, and internal records to ensure data accuracy and accessibility.
Minimum Qualifications
- Bachelor’s degree in Business, Management, Industrial Engineering, Communications, Information Systems, or a related field.
- 2+ years of experience in project management, operations, event management, or client-facing program delivery roles.
- Strong ability to manage multiple projects simultaneously with structured planning, tracking, and execution.
- Skilled in stakeholder coordination, cross-functional communication, and vendor management.
- Comfortable working in dynamic, fast-paced environments with shifting priorities and tight timelines.
- Proficient in productivity and collaboration tools (Google Workspace, Microsoft Office, Notion, Trello, Asana, Zoom, etc.).
- Strong administrative skills with high attention to detail, documentation accuracy, and process compliance.
- Excellent communication skills, both written and verbal, when interacting with clients, internal teams, and external partners.
- Adept at basic technical troubleshooting during online/onsite events (audio, video, connectivity, platform access).
- High ownership mindset, proactive problem-solving ability, and strong operational reliability.
- Willingness to support onsite and online events, including working outside regular hours when required.
