Executive Assistant to the Director/CEO seeking for highly intelligent, proactive, and resourceful Executive Assistant to the Director/CEO — someone who operates as a strategic right hand, not a traditional administrative assistant. This role is ideal for a sharp thinker with strong organizational instincts, leadership potential, and the ability to bring clarity, structure, and follow-through to a fast-moving founder.

You will work across the entire Mazari ecosystem: luxury villa development, design, construction, procurement, hospitality, operations, and marketing. The director needs someone who sees the big picture, sweats the small details, and keeps the company running smoothly behind the scenes.

Key Responsibilities
Executive Support & Strategic Coordination
  1. Act as the trusted partner to the director — anticipating needs, solving problems before they surface, and maintaining oversight across departments.
  2. Manage the director’s priorities, deadlines, follow-ups, and strategic initiatives.
  3. Ensure the director stays informed on all critical operations without needing to micromanage.
Cross-Department Tracking & Alignment
  1. Track progress of Construction, Design, Procurement, Hospitality/Operations, Finance, and Marketing teams.
  2. Identify bottlenecks, flag risks early, and ensure tasks move from discussion to execution.
  3. Prepare concise weekly updates and dashboards for the director.
Project & Design Oversight
  1. Support review of designs, drawings, procurement lists, BOQs, and construction details.
  2. Ensure that accuracy, brand standards, and quality are never compromised.
  3. Keep record of decisions, design iterations, and follow-up actions.
Problem Solving & Process Improvement
  1. Identify inefficiencies in workflows and propose practical, scalable improvements.
  2. Approach issues with a solution-first mindset and strong critical thinking.
Communication & Stakeholder Handling
  1. Coordinate communication between the director and contractors, consultants, partners, villa owners, and team members.
  2. Draft high-quality emails, memos, and documentation that reflect Mazari’s professional tone.
  3. Prepare materials for meetings, presentations, or investor documents when needed.
Personal Executive Assistance
  1. Help streamline aspects of the Founder’s personal and work life to maximize productivity.
  2. Handle select personal tasks, scheduling, travel arrangements, and logistics with discretion.
Requirements

  3. Confident communicator who can liaise with contractors, designers, consultants, and high-net-worth clients.
  4. Experience in real estate, architecture/design, hospitality, consulting, or project coordination preferred.
  5. Ability to manage multiple priorities with calm, clarity, and precision.
  6. Professional maturity, integrity, and discretion.
  7. Comfortable working in a fast-paced founder-led environment with shifting priorities.
  8. Fluent English required; Bahasa Indonesia is an advantage.
