Reporting Relationship
The Payroll Clerk reports to the Finance Department Manager.
Position Summary
The Payroll Clerk is a key team member in the Finance Department, responsible for the daily administration of employee payroll functions.
ESSENTIAL FUNCTIONS
- Processing Payroll:
- Accurately processes employee payroll using the ACCPAC payroll module, including term and casual/on-call employees, based on department managers' approved payroll information forms.
- Monitors and records employee timesheets upon manager approval.
- Calculates and records payroll details, including deductions, attendance, vacation, sick leave, overtime, and other entitlements, with manager approval.
- Ensures adherence to MFN’s Personnel Policy when processing payroll, verifying attendance and leave records.
- Maintains confidentiality and privacy at all times.
- Maintains accurate payroll records and employee files.
- Reconciles payroll deductions for employees and the employer.
- Prepares and reconciles payroll accounts with the general ledger.
- Handles requests for pay-related documents, statements, and verifications.
- Keeps current with applicable payroll legislation and implements changes as needed.
- Reporting:
- Ensures timely submission of remittances for pension plans, group benefits, WSIB, CPP, taxes, EI, and Family Responsibility Office.
- Generates and distributes payroll reports, including remittances and contributions, on schedule.
- Prepares year-end payroll reports for review and approval by the Finance Manager.
QUALIFICATIONS & REQUIREMENTS
Preferred: College Diploma in Business Administration or Certified Payroll Compliance Practitioner with five (5) years of experience.
Minimum: High School Diploma, working towards a College Diploma in Payroll Compliance or Business Administration, with at least three (3) years of relevant experience, or equivalent education and experience.
Membership in the Canadian Payroll Association or training to become a Certified Payroll Compliance Practitioner (PCP).
Other Skills and Attributes
- Strong analytical, organizational, and time management skills.
- Proficiency in Excel, Microsoft Office, and ACCPAC modules.
- Excellent communication and interpersonal skills.
- Ability to work independently and in a team environment.
- Willingness to participate in training and professional development.
- Understanding of Anishinabek culture and traditions; fluency in Anishinabemowin is a strong asset.
- Must provide a current (within 30 days) Criminal Reference Check (CRC), original or certified copy.
