About the role

In this role, you will be a trusted partner in the office of the CEO, providing unparalleled support and ensuring seamless operations at the highest level of our organization. Your exceptional organizational skills, discretion, and proactive approach will be critical as you manage complex schedules, coordinate high-stakes meetings, and handle confidential information with utmost diplomacy and professionalism.

What You’ll Do Here:

  1. Provide comprehensive support to the CEO, including sophisticated calendar management to promote maximum productivity.
  2. Prioritize and respond to external and internal enquiries using tact, diplomacy and sound judgement.
  3. Organize complex international travel arrangements resolving any conflicts promptly to ensure flawless itineraries including flights, visas, accommodations, ground transportation, reservations and meals.
  4. Handle correspondence and follow up as required, with considerations to priorities and timelines.
  5. Demonstrate exemplary ambassadorship of company values in all interactions with internal and external stakeholders.
  6. Ensure briefings and materials are provided in advance for adequate preparation.
  7. Collaborate effectively with other Executive Assistants to ensure consistency in processes.
  8. Organize and coordinate meetings and events, including invitations, facilities, equipment, materials and follow-up on action items. Ensure seamless planning and execution of logistics.
  9. Actively participate in special projects, support with coordination, scheduling and action items for various initiatives as assigned.
  10. Run confidential reports and create professional PowerPoint presentations, Word documents, and Excel spreadsheets.
  11. Provide personal assistance for the CEO as required.
  12. Perform other duties as assigned.

What You Bring to the Table:
The ideal candidate is a team player who excels at planning, problem-solving and anticipating needs. This is a dynamic and high-profile role suited for a detail-oriented, agile and organized professional with proven expertise in handling sensitive and confidential matters.

  1. A minimum of 5 years of experience as an Executive Assistant or relevant role supporting senior leaders, preferably in a publicly traded company.
  2. Bachelor's degree in administration or equivalent.
  3. Asset: Proficiency in both English and French (written and verbal) is preferred.
  4. Excellent communication skills, both written and verbal, with the ability to orchestrate multiple activities simultaneously and with accuracy.
  5. High degree of professionalism in manner, tone, and attire. Strong business acumen and the ability to build trusting relationships quickly.
  6. Superior organization skills with the ability to deliver results in a fast-paced, dynamic environment. Ability to work effectively under pressure.
  7. Strong judgment, resourcefulness, and the ability to work autonomously.
  8. Ability to handle highly confidential and sensitive information with discretion.
  9. Proficiency in MS Office (Word, Excel, PowerPoint), SharePoint, and virtual collaboration tools (MS Teams, Zoom) is essential.
  10. Flexible with work schedule arrangements.
