What is the Opportunity?
Reporting to the Team Lead, Human Resources, the Human Resources Administrator provides administrative and coordination support to the Human Resources and operations team. The Human Resources Administrator is responsible for providing professional, client‑centred support within a fast‑paced operational environment.
Key Responsibilities
Payroll
- Responsible for submitting salary and compensation related changes payroll according to the payroll schedule.
- Responsible for running semi‑monthly salary reports and assisting employees with time entry/timesheet submission, liaising with the project controls and finance project teams as required.
- In charge of investigating and answering employee questions associated with their pay acting as a liaison between the employee and payroll department.
- Collect and securely file all associated paperwork.
- Ensure proper backup and signatures are on all paperwork to ensure compliance with all potential audit requirements.
- Partner with the Finance/Fleet team on the set up of employee vehicle benefit provisions.
- Respond to Service Canada ROE inquiries.
Human Resources Information System
- Submit, maintain and verify all employee records in the HRIS database (SAP).
- Process all employee life‑cycle data transactions with accuracy and attention to detail including but not limited to:
- New hires
- Terminations
- Personal changes
- Performance reviews
- Manager, Alternate Manager, Organizational Changes
- Vacation tracking
- Position creation to support talent acquisition processes
- Accountable for data integrating and implementing routine processes for auditing system transactions and validating data accuracy.
- Generates standard daily, weekly and monthly reports (e.g. new hires, terminations, headcount, benefits, training, performance reviews, etc.) to support the HR and project reporting requirements.
- Set up and maintain all employment files.
- Create and generate new and ad hoc HRIS reports as needed by the HR department.
- Educate the Human Resources team on any process changes and ‘how to’s’, maintain all process documentation and workflow ensuring routine reviews.
- Participate in any testing with system updates with the corporate HRIS administrator.
- Subject Matter Expert on SAP and SuccessFactor in the HR team.
Total Rewards
- Responsible to ensure that employees are enrolled in the benefits & retirement savings program.
- Act as employee liaison to the pension & benefits department.
- In charge of investigating and answering employee questions associated with benefits.
- Process all health and wellness benefits.
- Responsible for filing all employee letters once system transactions have been completed.
- Code all HR invoices, training related invoices, temp agency invoices and other miscellaneous invoices.
- Liaison between vendor and A/P department for all payment inquiries.
- Complete POs in SAP for invoices.
- Reconcile the HR Engagement Credit Card.
Other
- Responsible for answering or directing employee inquiries.
- Participate and support project internal/external audit requirements.
- Maintain the org chart for the HR team and other department org charts.
- Update and maintain HR dashboards and support HR analytics.
- Maintains HR forms to ensure availability for employee use.
- Maintaining and updating highly confidential information on a daily basis. Shreds confidential documents to ensure confidentiality.
- Complete and submit ad hoc reports on an as‑needed basis.
- Complete Statistics Canada wage surveys as required.
- Track and reconcile vacation, inclusive of creating an annual vacation carry‑over report.
- Files administrative documents in employee files.
- Participates in special projects and performs additional duties as required.
- Fosters the department and throughout the company.
- In charge of returning unsolicited calls to the HR department.
- Performs a variety of clerical and administrative duties in support of Human Resources.
- Schedule meetings for HR and others as needed.
- Create presentations when necessary/static requests.
- Send out e‑mail communications when necessary/static requests.
- Employee offboarding.
- Other duties as assigned.
Required Knowledge and Experience
- Post‑secondary school education, preference given to those with an HR focus.
- 1‑2 years’ experience working in a Human Resources or Payroll department is an asset.
- Strong proficiency of Microsoft Office Products (Word, Excel, PowerPoint, Outlook).
- Strong analytical, mathematical skills and problem‑solving skills.
- Strong time management and organizational skills.
- Ability to work in a high‑pace and evolving environment.
- SAP/SuccessFactor experience is an asset.
