Group & Reservations Coordinator (Replacement Position)

Salary

CAD 55,000 – 57,000 per annum

About the Role

The Group & Reservations Coordinator acts as a liaison between Reservations, Sales, and Events. In this role, they will manage booking, modifying, and canceling all group blocks in Envision, and will be the main point of contact for group rooming lists and group guest reservations. They are responsible for inputting rooming lists, setting up billing, making changes in Opera/Reserve, preparing groups for arrival, maintaining historical information, and entering pickup information. They will also manage reservations and pre‑arrival processes through phone, email, and other channels, while delivering exceptional guest service aligned with Forbes 5‑Star Standards. This role works closely with all departments to ensure every guest need is exceeded. It is multi‑functional, and additional duties may be assigned by the Director of Revenue Management. The Group & Reservations Coordinator reports directly to the Director of Revenue Management.

Responsibilities
  • Serve as the main contact for entering rooming lists, creating group resumes, and setting up billing.
  • Block group rooms prior to arrival as needed and ensure smooth room allocation.
  • Assist Sales and Events teams with all group reservation needs.
  • Lead group review and pickup meetings.
  • Maintain consistent communication with group organizers and contacts.
  • Attend and prepare materials for pre‑conference and group resume meetings.
  • Monitor group cutoff dates to ensure rooming lists are submitted on time.
  • Handle guest reservation inquiries professionally via phone and email, aligned with Forbes service standards.
  • Book, modify, and cancel guest reservations accurately and provide clear information on hotel facilities and services.
  • Collect and record guest preferences on each reservation call and promote collection of guest preferences throughout the hotel.
  • Communicate VIP and Repeat Guest arrivals to appropriate departments for escorting and amenity arrangements.
  • Ensure proper selling techniques are used to maximize room revenue and occupancy.
  • Actively promote packages, upsell opportunities, and hotel promotions.
  • Block special room requests such as accessible rooms and suites.
  • Set up accurate billing and guest account preferences (share‑with, split billing, etc.).
  • Maintain full knowledge of and compliance with all hotel policies and procedures.
  • Inform Director of Revenue Management of market trends and participate in yield meetings as required.
  • Support other departments as needed and carry out any other duties assigned by the Director of Revenue Management.
Experience and Qualifications
  • Motivated and highly organized with strong attention to detail.
  • Excellent proficiency in written, spoken, and reading English.
  • Previous hotel experience preferred.
  • Previous experience in Reservations and/or Front Office or a high‑volume call center environment an asset.
  • Demonstrated ability to interact effectively with individuals from diverse backgrounds.
  • Ability to work independently and collaboratively within a team.
  • Proficient in Microsoft Office, especially Excel.
  • Strong customer service and communication skills.
  • Knowledge of Opera Property Management System, Reserve, and Envision preferred.
  • Flexible shift availability and adaptability to a wide range of guest personalities and needs.
