We are seeking a highly organized, professional, and proactive Executive Assistant to support our Partners and client in delivering exceptional results. This role is ideal for a candidate who thrives in a fast-paced environment, demonstrates outstanding attention to detail, and consistently exercises discretion and sound judgment.

Key responsibilities
  • Prepare, review, and format correspondence, presentations, reports, and confidential client materials.
  • Acts as a contact and liaison between our clients and internal parties.
  • Manage executive calendars, including meeting coordination, travel arrangements, and scheduling across multiple stakeholders.
  • Assist with preparing year-end client packages and maintaining sensitive documentation with a high level of confidentiality.
  • Draft and respond to internal and external communications on behalf of the management team.
  • Support various administrative needs, including project tracking, filing tax returns, engagement management, and committee work.
  • Organize and facilitate client meetings and events, ensuring all logistics and materials are prepared and follow-up actions are completed.
  • Collaborate with other administrative professionals to streamline processes and uphold high standards across the firm.

The ideal candidate would have
  • Diploma or certificate in Business Administration or a related field.
  • Experience in an Executive Assistant or senior administrative support role, ideally in a professional services environment.
  • Strong written and verbal communication skills in English (bilingualism in French is considered an asset).
  • Advanced proficiency with Microsoft Office (Word, Excel, Outlook, PowerPoint), ability to adapt and learn new software.
  • Exceptional organizational, time management, and problem-solving abilities.
  • Demonstrated discretion, confidentiality, and sound decision-making.
  • Ability to work independently and collaboratively within a team-based environment.
