Who are we looking for?

The Operation Executive – Sea/Air is responsible for the preparation and submission of customs documentation to ensure that any imported or exported shipments meet all applicable customs laws and regulations of the origin and destination. The executive will act as an advisor in determining the level of duties and taxes to be paid and supporting the processing of payments on behalf of clients as well as resolving customers’ issues, complaints, and escalations.

How You’ll Make an Impact?

Workflow and Operation Management

• Responsible for customs clearance, including the declaration process, arranging customs inspections, and attending inspections at the airport or seaport when necessary.
• Responsible for closely monitoring online accounts for Dubai Customs, DP World, Calogi, and IATA, recording transactions, and periodically reconciling them with finance records to ensure alignment.
• Coordinate with shipping lines & airlines to manage the full operational cycle from booking to BL/AWB collection
• Coordinate seaport & airport handling activities, including cargo handover procedures & port charges arrangement, to ensure smooth execution.
• Collaborate with internal teams to resolve challenging shipments and deliver effective solutions.
• Provide timely shipment updates to the Client & report to the Operations Supervisor
• Ensure regular entries in the ERP system, issue client invoices promptly, and post vendor invoices for accurate financial tracking.

Operations Reports

• Creates daily reports for all services rendered by the Customs Clearance team and ensures that all services are updated in the system
• Prepares timely and accurate customs clearance reports as required

Policies, Systems, Processes, and Procedures

• Recommends, develops, and implements operational plans and policies to support near-term performance targets as well as long-term strategic business objectives
• Ensures that policies and processes fulfill all procedural/legislative requirements while delivering a quality, cost-effective service

Quality Management and Continuous Improvement

• Ensures and recommends compliance with all relevant quality management procedures and controls to guarantee compliance and delivery of high-quality service.
• Stimulates and contributes to identifying opportunities for continuous improvement of systems, processes, and practices, considering best practices, improvement of business processes, cost reduction, and productivity improvement.

What makes you unique?

• Bachelor's degree in business management, logistics, supply chain, or a related field, or higher
• Minimum of 3 years of experience in customs clearance operations of Air and Ocean shipments. A valid UAE Car Driving License is a must.
• Strong communication, problem-solving abilities, and interpersonal skills
