Job description

This role forms part of the spa team at Pezula Nature Retreat - Knysna, within the Village n Life hospitality group.

The Role

As Spa Front Desk Coordinator, you’ll support the Spa Wellness Manager in overseeing the daily operations of the Spa Front Desk and Wellness Facilities. You’ll play a key role in ensuring smooth administration across spa, salon, gym and wellness areas while maintaining service standards, operational efficiency and guest satisfaction. This position combines front desk leadership, administration, hosting and facility coordination, ensuring the spa runs seamlessly day to day.

Key Responsibilities

Support the Spa Wellness Manager with daily operational oversight.

Act as a point of escalation for guest or staff concerns and resolve issues professionally.

Supervise Spa Receptionists, Hosts and Housekeeping staff to ensure efficiency and service quality.

Provide performance feedback and improvement input to the Spa Wellness Manager.

Ensure high standards of cleanliness, hygiene and safety across all spa and gym facilities.

Assist with ad-hoc duties and projects as required.

Ensure accurate opening and closing procedures.

Manage spa reservations including pre-payments, cancellations, amendments and group bookings.

Maintain optimal efficiency of the ESP booking schedule.

Handle guest enquiries via phone, email and in person.

Coordinate special guest requests to enhance overall satisfaction.

Check spa and gym guests in and out.

Liaise with the Hotel Front Desk regarding promotions, vouchers and room charge postings on Opera.

Ensure the front desk area remains organised, presentable and aligned with company standards.

Maintain accurate guest records across all spa databases.

Conduct spa cash-up audits.

Compile daily reports and track operational efficiency.

Manage voucher sales and voucher databases.

Prepare rosters for front desk and housekeeping teams.

Process spa invoices and capture accurately in ESP.

Manage stock takes and inventory capturing.

Assist with ordering supplies, monitoring stock levels and managing supplier relationships.

Oversee drink stations, welcome drinks and spa offerings.

Ensure all public areas are set up and maintained to standard.

Maintain cleanliness and presentation of spa and gym change rooms and lockers.

Oversee general cleanliness of the gym facility.

What We’re Looking For

Grade 12 or equivalent.

A Beauty Therapy Certificate, Somatology or an Administration Diploma is advantageous.

Previous supervisory experience within a spa or wellness environment.

Strong knowledge of spa operations and procedures.

Proficient in MS Office, Excel, ESP and Opera.

Excellent communication, organisation and guest service skills.

Proactive, self-motivated and solutions focused.

Ability to manage time effectively in a fast-paced environment.

Flexibility to work weekends and evenings.

A collaborative team player with a goal-driven mindset.
