Overview
A busy real estate broker is seeking a proactive, confident, and organized Virtual Assistant to support outreach, marketing implementation, appointment scheduling, and day‑to‑day administrative tasks. The ideal candidate has experience in real estate cold calling, lead generation, and basic social media implementation.
This role begins as part‑time with the potential to transition into full‑time as workflow expands.

Core Responsibilities
1. Cold Calling & Lead Outreach (Primary Focus)
- Make daily outbound cold calls to prospective buyers, sellers, landlords, and investor leads.
- Conduct follow‑up calls with warm leads and existing contacts.
- Use scripts and call guidelines confidently while maintaining a natural, relationship‑driven style.
- Qualify leads and document all call outcomes in the CRM.
- Nurture lead relationships with professionalism and consistency.
2. Appointment Scheduling & Coordination
- Schedule buyer/seller consultations, showings, listing appointments, and follow‑ups.
- Manage the broker’s calendar to ensure well‑planned, balanced time blocks.
- Send reminders and confirmations to prospects and clients.
- Coordinate communication between the broker, clients, and external partners as needed.
3. Marketing Support & Social Media Implementation (Note: Creativity/design is not required; implementation and consistency are key.)
- Post pre‑created content across social platforms (Instagram, Facebook, etc.).
- Help maintain a consistent online presence aligned with the broker’s marketing strategy.
- Upload property photos, listing details, and promotional materials when required.
- Assist with basic flyer creation using templates (e.g., Canva).
- Track engagement and note content performance trends where helpful.
4. Administrative & Real Estate Support
- Maintain and update CRM records with accurate contact and lead information.
- Support general real‑estate administrative tasks as assigned.
- Prepare follow‑up emails, thank‑you messages, and simple marketing copy as needed.
- Assist with organizing files, documents, and transaction‑related information.
Required Skills & Experience
- 3+ years experience in real estate, cold calling, lead generation, ISA roles, or sales‑focused VA work.
- Strong and confident communication skills; comfortable speaking with U.S. real‑estate prospects.
- Experience using CRM systems (any system acceptable; training provided on the client’s CRM).
- Solid understanding of basic marketing workflows and implementation.
- Proficient with Excel, Microsoft Word, and general online tools.
- Highly organized, reliable, and self‑directed.

- Comfortable making high‑volume calls and handling both warm and cold leads.

- Able to follow processes while also using good judgment.

Working Hours & Structure
- Start: Part‑time (10–20 hours/week), with strong potential to grow to full‑time.
- Must be available to work in alignment with U.S. Eastern/Central Time Zones.
