Job Description

Blue Pearl is seeking a highly organized, proactive, and detail-oriented Personal Assistant to support the CEO. The successful candidate will play a critical role in ensuring the smooth day-to-day operation of the CEO’s office, managing schedules, meetings, travel, and logistics, while providing professional administrative and operational support.

Key Responsibilities
  • Executive & Diary Management
    Manage and maintain the CEO’s diary, ensuring efficient scheduling and prioritization of meetings.
  • Coordinate internal and external meetings, including preparation and follow-ups.
  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Meetings & Office Coordination
    Book and manage boardrooms and office meetings.
  • Prepare agendas, take accurate minutes during meetings, and distribute action items.
  • Ensure meeting logistics are arranged (venues, equipment, catering where required).
  • Travel & Accommodation
    Book flights, accommodation, and ground transportation for the CEO.
  • Manage travel itineraries and ensure seamless end-to-end travel arrangements.
  • Events & Logistics
    Coordinate logistics for company events, workshops, and executive functions.
  • Liaise with vendors, venues, and service providers to ensure successful event execution.
  • Administrative Support
    Handle confidential and sensitive information with discretion.
  • Assist with general office administration duties as required.
  • Support ad-hoc tasks to ensure the smooth running of executive and office operations.
Requirements
Key Requirements:
  • Proven experience as a Personal Assistant, Executive Assistant, or similar role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask, prioritize, and work under pressure.
  • High level of professionalism, discretion, and confidentiality.
  • Proficiency in Microsoft Office / Google Workspace tools.
  • Strong attention to detail and problem-solving ability.
  • Desirable Skills & Attributes:
    Experience supporting C-level executives.
  • Event coordination or logistics experience.
  • Proactive, self-driven, and solution-oriented mindset.
  • Ability to work independently and collaboratively.
