Job Description
A progressive travel solutions company is looking for a detail-oriented and proactive Operations Assistant to join their night shift team. This is a permanent, full-time role operating primarily on night shifts from 17:00 to 01:00, based on a five-day schedule with either days off during the week or on the weekend, with occasional day or night shifts on weekends as required. This role is predominantly remote with a requirement to be in the office on occasion.
The role serves as the main point of contact between departments and provides essential support to Operations, Finance, Sales, and other areas of the business. The position requires strong organizational skills, the ability to manage multiple tasks simultaneously, and a sharp eye for detail.
Responsibilities
- Provide operational support to departments such as Finance, Sales, and Customer Service by managing administrative tasks, coordinating workflows, and ensuring work is completed accurately and on time.
- Serve as a liaison between departments, helping to resolve issues, improve communication, and support smooth collaboration.
- Assist with financial administration, including processing invoices, reconciling accounts, and managing expense reports.
- Upload virtual cards as needed and handle the related administrative responsibilities that support payment processes.
- Maintain accurate records and documentation while ensuring compliance with company policies.
- Respond to stakeholder requests and inquiries professionally and promptly while delivering excellent service.
- Support special projects and broader company initiatives when required.
- Manage multiple priorities and deadlines in a fast-moving environment.
- Identify areas where processes can be improved and help to implement more efficient ways of working.
- Provide seamless after-hours support for land arrangements and emergency travel (land only).
- Assist in resolving booking issues and coordinating with suppliers as needed.
- Assist with booking follow-ups and reconfirmations.
- Support the processing of bookings, including handling manual tasks when required.
- Coordinate supplier and transfer information to ensure accurate and timely updates.
- Handle supplier communication for special requests and booking amendments.
Requirements
- Bachelor’s degree or equivalent experience in Business Administration, Finance, or a related field (essential).
- Previous experience in a travel consultant, administrative, or operations support role is preferred.
- Strong attention to detail and accuracy, with the ability to maintain high standards across multiple tasks.
- Excellent organizational and time-management skills.
- Strong communication and interpersonal skills, with the ability to work well with people at all levels.
- Ability to work independently with minimal supervision, as well as collaboratively within a team.
- Comfortable working night shifts and in a fast-paced environment with a positive, adaptable attitude.
- Experience in the travel industry is an advantage
