Role: Operational Administrative Assistant (Business-Focused)

Priority Location: South Africa and LATAM strongly recommended

Working Hours: Full-time Monday-Friday 8:00 AM - 5:00 PM PST (flexible with US Pacific Time overlap required)

Salary Range: $1700-$2000 USD per month (The final offer is at the client’s discretion and depends on the candidate’s interview result, skills and experience.)

The business is fast‑paced, detail‑driven and highly professional with a strong emphasis on organization, responsiveness and operational excellence.

About the Role

This role provides strictly business-focused administrative support to a commercial real estate brokerage. The Administrative Assistant will manage operational and administrative tasks that keep the business running smoothly, allowing the broker to focus on deal‑making and client‑facing work. This is not a personal assistant or executive assistant role and does not include personal errands, travel booking or lifestyle support. The ideal candidate is organized, business‑minded and comfortable operating independently in a professional services environment.

Key Responsibilities
  • Manage business email correspondence ensuring timely and professional responses
  • Organize, maintain and update documents, files and transaction‑related paperwork
  • Support listing and deal workflows: track deadlines, follow‑ups and required documentation
  • Coordinate calendars, meetings and virtual appointments accurately
  • Maintain internal systems, records and administrative processes
  • Assist with data entry, reporting and task tracking related to brokerage operations
  • Proactively identify administrative improvements to increase efficiency and organization
Qualifications

Required:

  • Proven experience in administrative or operations support roles
  • Experience supporting real estate, legal or professional services businesses
  • Strong written English and professional business communication skills
  • High attention to detail and excellent organizational abilities
  • Ability to work independently with clear instructions and minimal supervision

Preferred:

  • Familiarity with commercial real estate workflows or documentation
  • Experience working remotely with US‑based clients
