Job summary

A leading media company in Cape Town seeks an experienced Office Manager & Personal Assistant to ensure the smooth functioning of the office and support the Chief Technology & AI Officer. You will manage diaries, handle travel arrangements, and perform general office management tasks. Candidates should have at least 5 years of relevant experience, proficiency in MS Office and Teams, and possess excellent communication skills. This is an office-based position located in Cape Town.

Qualifications

  • Minimum of 5 years working experience as an office manager and/or personal assistant.
  • Ability to manage sensitive and confidential information.
  • Project management background would be an advantage.

Responsibilities

  • Manage the diary of the Chief Technology & AI Officer.
  • Coordinate input for key statutory reporting.
  • Make local and international travel arrangements.
  • Complete all administration related to employees.
  • General office management including catering and equipment management.
  • Handle all day-to-day communication.
  • Process all supplier invoicing.

Main Purpose Of The Role

Reporting to the Chief Technology & AI Officer, the Office Manager & Personal Assistant is responsible and accountable for ensuring the smooth functioning of all aspects of the office and the team. This position is available in our Cape Town office and is office based.

What should you have?
  • Degree or Diploma in Administration, Project Management or Secretarial.
  • Minimum of 5 years working experience as an office manager and/or personal assistant or related position.
  • Proficiency in MS Office and Microsoft Teams.
  • Project management background would be an advantage.
  • Ability to manage sensitive and confidential information.
What will you do?
  • Effectively manage the diary of the Chief Technology & AI Officer, as well as correspondence.
  • Coordination and gathering input for key statutory reporting for meetings and board reporting.
  • Local and international travelling arrangements.
  • Ensuring all administration related to employees is completed (this includes issuing of welcome packs, ordering of equipment, requesting system access, etc.)
  • General office management and team support, including catering, managing office equipment, petty cash and stationery.
  • Manage all day-to-day communication – electronic and verbal.
  • Process all supplier invoicing and ensure all project allocations are completed, as well as the loading of vendors onto the applicable platforms.
  • Various adhoc administration tasks.
