Job description

Our client, a specialist Psychiatrist based in Roodepoort, Gauteng, is seeking to recruit an experienced medical receptionist.

Duties and Responsibilities:
  • Patient Communication and Front-Desk Management
  • Answer and triage incoming telephone calls.
  • Welcome and receive patients on arrival.
  • Manage appointment bookings, cancellations and rescheduling.
  • Provide basic non-clinical information katon regarding services, fees and practice processes.
  • Manage waiting room flow to minimise patient distress and delays.
  • Risk and Safety-Sensitive Functions
  • won't change for bullet.
  • Recognise potential red-flag presentations and escalale urgent concerns to the psychiatrist or designated clinician.
  • Coordinate urgent add-on or crisis appointments when required.
  • Activate emergency protocols when necessary.
  • Remain calm, clear and compassionate when dealing with distressed patients or conflict situations.
  • Maintain the psychiatrists clinical schedule.
  • Manage late arrivals, no-shows and waiting list priorities.
  • Liaise with hospitals, psychologists, GPs and pharmacies regarding scheduling and patient logistics.
  • Records and Confidentialbut Information Management
  • Create and maintain patient records within legal and ethical requirements.
  • Maintain strict confidentiality for all patient, clinician and practice information.
  • Billing and Administrative Support
  • Generate invoices and receipts.
  • Process medical aid claims and perform follow-ups.
  • Maintain accurate financial and administrative dienstrecords.
  • Practice Operations and Environment
  • Contributeakey to a well-organised, professional and efficient practice environment.
  • Demonstrate strong initiative — able to understand tasks, improvise, learn and adapt quickly.
  • Uphold a warm, respectful and service-oriented reception environment.
Qualification and Requirements:
  • National Senior Certificate (Grade 12 / Matric).
  • Experience in a medical reception or medical billing environment.
  • Computer literacy and competence, including: Microsoft Office Suite, Medical software systems (essential), Accurate and efficient typing.
  • Experience in psychiatric or psychiatric-adjacent settings is beneficial.

  • Skilled in clear, compassionate communication with ethical maturity.
  • Comfortable communicating boundaries kindly and professionally.
  • Calm under pressure and able to respond effectively to distressed patients.
  • Trustworthy, reliable, attentive to detail, and organised.
  • Administratively strong with excellent follow-through.
  • Proficient in English (verbal and written).
  • Additional languages beneficial, especiallyvam Zulu or Sotho (locally spoken in Roodepoort).
Working hours:
  • Monday to Friday, 08h00 - 17h00
  • Occasional extended hours may be required on weekdays in event of a medical emergency or crisis
