Job description
Primary Job Purpose:

The IT Asset Management (ITAM) Portfolio Controller is responsible for tactical execution and for tracking and reporting the value and ownership of IS financial assets throughout their life cycle. This entails the liaison and coordination of all activities associated with the life cycle of Enterprise Hardware, Software Assets, and the IS Warehouse including the Software Library.

Key Performance Areas:
Manage ITAM Operationalization (Both Hardware & Software Asset Management)
  • Control, coordinate and track an accurate inventory of all IT assets throughout the lifecycle. Assets include but not limited to:
  • Copies of software licenses, warranties, and maintenance agreements
  • All software and hardware serial numbers, asset tags, locations, etc.
  • All costs associated with asset and maintenance/support
  • Control all phases of the Hardware and Software Asset Data Management process (acquisition, change, maintenance, upgrade, decommission, and disposal) to manage asset lifecycles
  • Control and coordinate the reconciliation, audits and validation of licenses and maintenance contracts against installed asset base and software library
  • Work closely with IS Compliance to support audit processes
  • Coordinate to ensure accuracy and timeliness of data and asset reporting to stakeholders
  • Vendor relationship liaison and management of ITAM portfolio including monthly and quarterly meetings, performance, previous escalations and issue resolution.
  • Report on Asset Inventory information of current assets and licenses, and advise on consolidation of contracts to give effect to greater discounts & service levels
  • Coordinate IS Warehouse Function
  • Coordinate and ensure a professional IS Asset Warehouse life-cycle process and facility, both centrally and regionally
  • Ensure that compliance to policies, processes, procedures and standards is maintained
  • This includes all IS enterprise-wide hardware & infrastructure assets, all Includes Operating Systems, Applications, Tools, Licenses, COTS, Bespoke Development and Databases and the Software library
  • Coordinate equipment delivery, returns, relocations, transfers and retirement, compliance, reporting, issues & escalations
Supervisory / Leadership / Managerial Tasks: Refers to the responsibilities for directing, guiding, motivating and influencing others.
  • Ensure compliance and delivery of the Asset Coordinators and IS Warehouse staff to the ITAM Framework and Commercial Requirements
  • Provide consolidated monthly ITAM management reports and feedback

Collaboration:
  • Matrix reports: Operational ITAM Coordinators & IS Warehouse staff

Minimum Requirements - Education:

Minimum of 3-year degree/diploma (B. Com)

ITIL v3 / Certification in Asset Management

Fluent in English and language of country preferable

Experience:
  • Minimum of 3 years’ experience in assisting in managing and controlling the execution of an asset lifecycle framework in a large corporate environment
  • Experience of controlling the coordination of asset lifecycle management within a project context in the telecoms/IT industry
  • Previous experience in all the elements of Hardware Asset Management, Software Asset Management, Software Licensing and IS Warehouse Management
  • Experience working in a medium organization
  • Vendor/supplier management experience will be advantageous
  • IACCM Certified membership (International Association for Contract and Commercial Management) will be an advantage
