HR Administrator
Position Info
Role Purpose
To provide end-to-end HR administrative and operational support across the employee lifecycle, ensuring accurate records, statutory compliance, employee benefit administration, reporting, and professional HR service delivery to employees and management.
Responsibilities
- Employee Records & Compliance
- Maintain accurate, up-to-date electronic employee files on Microsoft Teams.
- Ensure all mandatory documents are in place (contracts, addendums, warnings, confirmations, PIP records, counselling notes, etc.).
- Manage and maintain employee beneficiary forms for:
- 10X Provident Fund
- Discovery Group Life Cover
- Onboarding, Offboarding & Lifecycle Management
- Coordinate onboarding documentation and uniform orders.
- Manage offboarding processes including:
- Medical Aid cancellation/transfer
- Provident Fund withdrawal documentation
- Offboarding forms and termination tracking
- Manage end-of-probation confirmations and extensions.
- Benefits Administration
- Process Medical Aid applications and cancellations
- Process Provident Fund cancellations, withdrawals, filing and beneficiary updates.
- Prepare and reconcile monthly Medical Aid recons for Payroll & Finance.
- HR Correspondence & Reporting
- Draft employment confirmation letters and other HR correspondence.
- Prepare monthly HR reports
- Maintain updated HR tracking tools and reports.
- Employee Support & ESS Administration
- Handle employee queries and general HR support.
- Provide ESS assistance (leave processing, password resets, reporting line updates).
- Training & Coordination Support
- Maintain training schedules and assist with training administration.
- Track attendance, documentation, and compliance.
- ER & Compliance Support
- Assist with preparing bundles for enquiries and disciplinary processes.
- Support HR team with:
- PIP documentation
- Counselling session documentation
- Return and filing of signed warnings
- COIDA / IOD Administration
- Assist with Workman’s Compensation claims.
- Compile and submit IOD documentation.
- Ensure deadlines are met and follow-ups are completed.
- Maintain COIDA tracking reports.
- Travel & Visa Support
- Manage visa applications for business travel.
- Team Support
- Provide general administrative support to the HR team.
- Assist with leave coverage within the HR team as required.
Qualifications & Experience
Education
- Diploma / Degree in Human Resources, Industrial Psychology, Business Administration, or similar.
Experience
- experience in an HR Administrator / HR Officer / People Operations role.
- Proven experience in:
- Benefits administration (Medical Aid & Provident Fund)
- HR reporting & compliance
- Employee lifecycle administration
