Job Overview:

Are you energetic, organised, and passionate about supporting international students? Our Sable Guardians team is looking to add a Guardianship Co‑ordinator to their team in our Cape Town office. We offer a dynamic and collaborative environment where we achieve our business objectives and have fun doing it.

Sable Guardians, an AEGIS‑accredited and BSA member organisation, provides educational guardianship services to international students attending UK boarding schools and pre‑university pathway colleges. Since 2013, we have expanded to support students under 18 at pathway colleges across the country, offering services such as guardianship packages, host family management, disbursement administration, and guidance for parents and students.

Our Cape Town‑based Sable Guardians team ensures that every student’s experience is safe, well‑organised, and positive. As a Guardianship Co‑ordinator, you’ll play a key role in supporting students and their families by coordinating arrangements with parents, host families, and our UK regional staff. This fast‑paced and varied role blends administration, communication, and student coordination, offering the opportunity to make a meaningful difference in the lives of young people studying abroad.

You’ll join a friendly, collaborative team that values empathy, attention to detail, and professionalism. The ideal candidate enjoys building relationships, managing logistics, and ensuring students receive the care and support they need to thrive while studying away from home.

You’re perfect for this position if you:
  • Have strong administrative and organisational skills, with the ability to manage multiple tasks and competing priorities in a fast‑paced environment.
  • Communicate clearly and professionally with parents, students, host families, and colleagues across different time zones.
  • Are self‑motivated, detail‑oriented, and able to work both independently and as part of a supportive team.
  • Bring a proactive, problem‑solving mindset and stay calm under pressure.
  • Have excellent written and verbal communication skills, with strong IT proficiency (especially in Microsoft Word and Excel).
  • Are professional, empathetic, and adaptable, with a genuine interest in supporting young people studying abroad.
  • Hold a good general education and have experience in an administrative and/or customer‑facing role.

Extra points if you have:

  • Experience in the education sector or familiarity with UK boarding schools.
  • Experience working with children or young adults.
  • Knowledge of a second language.
Your role and responsibilities:

Among other tasks, your main responsibilities will include:

  • Maintaining regular and proactive communication with parents, students, and staff to ensure smooth coordination and support.
  • Monitoring and responding to emails in a timely and professional manner.
  • Supporting the Assistant Manager in arranging student transport and holiday accommodation.
  • Coordinating arrangements for host family stays in collaboration with the UK regional team.
  • Drafting contracts for new students and host families.
  • Managing DBS checks in line with AEGIS and company requirements.
  • Handling application forms from pathway providers.
  • Coordinating meetings between Sable Guardians, pathway colleges, and students under guardianship—typically online—to monitor student wellbeing, track academic progress, and address logistical needs.
  • Liaising with Regional Co‑ordinators to ensure smooth service delivery.
  • Following up with pathway students, parents, and agents.
  • Updating the company database (CRM) with all required documentation.
  • Occasionally attending parent meetings (virtually or in person, if required).
  • Assisting with host family recruitment and onboarding.
  • Supporting the ongoing management and development of the CRM system.
