Finance Administrator - Part Time, 20 hours

Responsibilities

Hexagon Asset Lifecycle Intelligence is looking for a Finance Administrative Assistant to join our team in South Africa. This position will report to the Senior Manager of Accounting.

In this position, individuals perform administrative tasks of a complex scope and confidential nature in one or more areas of company business. Individuals in this position work under limited supervision. Proficiency in Microsoft Office software applications (particularly Excel) is required.

• Running the monthly payroll
• Submitting monthly EMP and VAT returns to SARS
• Bi annual filing of EMP501 returns to SARS
• Submitting Workmen’s compensation to DOL annually
• Monitoring and reporting on monthly annual and sick leave
• Managing company insurance for our assets
• Making ad hoc travel arrangements for staff (this may change as we’re thinking about automating this so staff can do it themselves)
• Filing annual return with CIPC and making any other statutory changes
• Liaising with Momentum around Pension related queries
• Loading weekly payments for approval on FNB
• Checking/approving staff expenses monthly on Databasics
• Checking monthly rental invoice and preparing monthly ESG report
• Assisting with any admin tasks like buying gifts for staff, ordering lunch each week, booking conferences and helping to arrange social events etc
• Providing cover for Belinda when she is on leave (bookkeeping and fixed asset maintenance)
• Ad hoc HR assistance with paperwork (if time allows)

Education / Qualifications

• Be self motivated and able to work with limited supervision
• Be a team player- we are a small finance team of 3 people and we work very closely together. While there are clear lines of individual responsibility, we are also there to cover for each other so that we don’t create bottlenecks for the rest of the company.
• Meticulous in detail
• Very organised and able to manage a variety of different deadlines (some annual, some monthly, some weekly, some ad hoc) without dropping any balls.
• Proficient in Excel – using formulae to do the work not a calculator!
• Adaptable and a quick learner
