Facilities Manager job vacancy in Stellenbosch.

Duties and Responsibilities:

  • Preventative Maintenance: Develop and execute a 52-week Planned Preventative Maintenance (PPM) schedule for critical plant equipment (HVAC, lifts, fire panels, transformers). Ensure schedules are accurate, up to date, and executed on time.
  • Generator Management: Manage diesel procurement and generator maintenance contracts to ensure 99.9% uptime during load shedding.
  • Infrastructure Audits: Conduct monthly technical inspections to identify deterioration before it becomes a capital expense.
  • Ticket Management: Manage the “Helpdesk” system by triaging incoming complaints (e.g., aircon issues, leaks) and dispatching approved contractors
  • Resolution: Ensure all tickets are logged and resolved within the SLA priority timeframe.
  • Procurement: Draft scopes of work for service providers.
  • Performance Monitoring: Hold monthly SLA meetings with security, cleaning, and landscaping contractors to review performance.
  • Legal Compliance: Ensure strict compliance with the Occupational Health and Safety Act (85 of 1993) 25and ISO standards (9001, 14001, 18001).
  • Statutory Certification: Manage the renewal of “Certificates of Compliance” (CoCs) for electrical installations, electric fences, and fire equipment, as well as “Annexure B” lift inspections.
  • Meter Management: Oversee monthly check-meter readings to ensure accurate tenant recoveries and investigate variances like leaks or faulty meters.
  • Sustainability: Monitor solar PV yield and implement energy-saving initiatives (e.g., LED retrofits) to reduce Gross Occupancy Cost.
  • Tenant Installs (TI): Oversee technical aspects of new tenant fit-outs, approving plans and monitoring contractors to ensure no damage to the base build.
  • Capex Projects: Manage approved capital projects (e.g., waterproofing, painting) within budget and timeframes.
  • Asset Register: Ensure all Asset Registers are accurate and up to date.
  • Document Library: Maintain the document library at both regional and Head Office levels.

Requirements:

  • National Diploma / N6 in Mechanical Engineering, Electrical Engineering, Construction Management, or Drafting is highly preferred.
  • Certified Facilities Manager (SAFMA) or SAPOA Facilities Management certificate takes preference.
  • SAMTRAC certification (Safety Officer level) is advantageous.
  • Project Management qualification is advantageous.
  • 3–5 years in a technical facilities management role.
  • Specific experience managing Retail, Industrial (“Triple Net Lease”), Multi-tenanted Office Parks, and Student Accommodation is required.
  • Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and MDA.
  • Understanding of building fundamentals, fire compliance, PV plants, and mechanical/soft services.
  • Ability to enforce SLAs and manage tough conversations with underperforming contractors.
