Overview

As a Facilities Administrator, you will be responsible for providing comprehensive support to the business by building strong relationships with key stakeholders and focusing on maintaining trackers, procuring goods and services, overseeing building maintenance and managing projects. You will report directly to the Business Support & Transport manager.

What Your Day-to-Day Will Look Like

You will be responsible for developing, monitoring, coordinating and implementing the company’s processes while liaising with the facilities team to ensure the highest level of service delivery to the staff. You will manage, distribute and monitor office supplies. You will maintain a clean and orderly reception area. You will oversee lockers, including procurement, allocation and tracking. You will handle asset control including tracking and issuing equipment. You will assist with liaising and addressing requests from the landlord. You will support facility and maintenance tasks, including arranging callouts as needed. You will supervise onsite work teams and contractors as required. You will allocate and manage access control in compliance with company and landlord standards. You will have general oversight of soft services on the site including but not limited to cleaning and security teams. You will coordinate and track parking bay assignments. You will address facility emergencies promptly. You will demonstrate flexibility to work across multiple sites. You will promote health and safety culture within the business. You will handle all transport-related inquiries. You will oversee booking applications for new joiners, movers and leavers. You will coordinate staff pick-up and drop-off times. You will follow established procedures for addressing complaints related to onsite pick-ups and drop-offs.

Requirements
  • You have a Matric (Grade 12) or equivalent qualification
  • Administrative Diploma/equivalent is advantageous
  • Previous experience within a similar role (advantageous)
  • You have 2 - 3 years’ experience completing administrative duties
  • Proficient skills in the use of Microsoft Office products, particularly Excel
  • You can display a strong sense of resilience whilst under pressure
  • You have a good command of the English language (written and verbal)
  • You are confident and thrive in pressured environments
