Overview
A fast-growing technology and robotics company is seeking a highly organized and detail-oriented Executive Assistant to support the Founder/CEO and wider leadership team. The ideal candidate is proactive, tech‑savvy, excellent with email and calendar management, and able to triage communications effectively in a fast‑paced environment. This role will begin part‑time (20 hours/week) with strong potential to transition into full‑time based on performance and operational needs.
Core Responsibilities
- Inbox & Communication Management
- Monitor, organize, and triage the CEO’s inbox to ensure no messages slip through the cracks.
- Draft polished, professional email responses when appropriate.
- Acknowledge incoming customer or partner messages and route them to the appropriate team member.
- Track follow‑ups, reminders, and pending action items.
- Scheduling & Calendar Coordination
- Manage and maintain the CEO’s calendar, ensuring alignment across internal and external stakeholders.
- Schedule meetings with clients, partners, the leadership team, and internal departments.
- Coordinate time zones (primarily Eastern Time) and ensure meeting details are accurate and communicated clearly.
- Administrative Support
- Support the operations team by sorting incoming customer inquiries and assigning tasks to relevant team members.
- Assist with light CRM management: updating records, keeping customer notes organized, and following simple workflows.
- Help maintain internal documentation in Google Workspace (Docs, Sheets, Slides).
- Create and maintain simple trackers, logs, and operational checklists.
- Cross‑Team Support
- Work closely with the CEO, VP, and operations team to ensure smooth communication flow.
- Provide general administrative support for ongoing projects.
- Ensure timely escalation of customer or internal issues to the right team member.
Nice‑to‑Have Skills
- Basic Canva experience for simple visual edits or presentations.
- Familiarity with CRM platforms (any CRM; training will be provided on the internal system).
- Experience supporting founders or leadership teams in a startup environment.
- Prior experience in a tech, robotics, security, or SaaS‑adjacent industry (not required but a bonus).
Required Qualifications
- Minimum 3–4 years of Executive Assistant or Virtual Assistant experience.
- Strong written and verbal English communication skills.
- High attention to detail and ability to prioritize in a rapidly changing environment.
- Confident using Google Workspace (Gmail, Docs, Sheets, Calendar).
- Tech‑savvy with the ability to learn new software quickly.
- Professional email etiquette and the ability to represent the CEO’s tone and communication style.
- Highly organized, proactive, and reliable.

$500 - $700 a month
