Overview

An exciting vacancy exists at OR Tambo International Airport for a Coordinator Brand Marketing & Communication to join the Corporate Services Management.

Key Performance Outputs

The successful candidate, reporting to the Senior Manager Corporate Services, will be responsible for the following:

  • Perform and oversee office administration.
  • Assist in implementation of interventions.
  • Replenish levels of stock, stationery and functional sundries in line with SCM.
  • Assist with necessary travel and accommodation arrangements.
  • Coordinate special projects and events.
  • Schedule and coordinate meetings in terms of invitations, conference room, catering etc.
  • Manage internal and external emails.
  • Receive and host incoming visitors.
  • Coordinate functional communications which may include screening calls and publishing of communications to stakeholders.
  • Transcribe, record and distribute minutes of meetings to relevant parties.
  • Maintenance of documentation and document management system.
  • Respond to requests, queries and complaints as and when required, direct accordingly.
  • Manage and maintain hard copy and electronic filing system.
  • Recordkeeping, retrieving and filing of relevant documentation.
  • Management of master and archive documentation.
  • Assist in preparation of tender documentation and process as and when required.
  • Log functional activity and/or maintain the functional system.
  • Coordinate and extract reports from functional system to enable reporting of functional activities.
  • Ensure the resolution of system related issues.
  • Conduct research to assist with the implementation of continuous improvement initiatives in functional area.
  • Complete trend analysis through qualitative data collection methods.
  • Conduct benchmarks and impact studies on completed initiatives.
  • Conduct feasibility studies in functional area for envisaged initiatives and projects.
  • Give input into the SCM process for the sourcing of contractors/Service Providers.
  • Facilitate contractor activity on site in line with SLA.
  • Conduct inspections and audits of Contractor activity on site.
  • Monitor functional contracts to ensure effective planning for their renewal through SCM processes.
  • Assist with the drafting and scoping of SCM documents and templates and submit in accordance with DLA’s.
  • Oversee and coordinate the payment of functional suppliers.
  • Reconcile travel budget for functional area.
  • Respond to requests, queries and escalated complaints. Escalate to relevant personnel when unresolved.
  • Ensure effective communication with stakeholders and customers to enable high satisfaction levels.
  • Build, support and maintain healthy internal and external relationships to ensure achievement of organizational goals.
  • Adhere to and ensure adherence to statutory regulations, organisational standards, policies and procedures. Report non-compliance and implement corrective actions to ensure compliance.
  • Ensure all source documentation is confidentially maintained, securely stored and filed in accordance with Standard Operating procedures.
Technical Skills And Experience
  • Diploma in the relevant area is essential.
  • 2-3 years’ Operational experience within the relevant functional discipline is essential.
  • 1-2 years Supervisory experience within the relevant functional discipline is recommended.
  • Intermediate Microsoft Office Skills
  • Code B, Motor vehicle license.
