General Function
The Proposal Writer is responsible for preparing, writing, and coordinating high-quality proposals, tenders, and RFP responses for catering and facilities management projects. The role ensures all submissions are well-written, compliant, competitive, and aligned with company standards and client requirements.
Key Responsibilities
- Review tender documents, RFPs, and RFQs to understand scope, technical, and commercial requirements.
- Collaborate with internal teams (operations, catering, housekeeping, engineering, HSE, finance, HR, etc.) to gather necessary technical and financial data.
- Draft clear, persuasive, and technically accurate proposal content, including methodology, service delivery plans, staffing structures, and value propositions.
- Develop and maintain a database of standard proposal content, company profiles, and project references specific to catering and FM services.
- Ensure proposals comply with client instructions, deadlines, and internal quality standards.
- Coordinate proposal reviews and approvals with management and relevant departments.
- Support the design, formatting, and layout of proposal documents to ensure a professional presentation.
- Assist in developing presentations, company profiles, and capability statements for business development.
- Track and manage proposal submissions, clarifications, and follow‑up correspondence with clients.
- Contribute to continuous improvement by collecting feedback on submitted bids and maintaining lessons learned.

Skills
REQUIREMENTS & SKILLS:
- Bachelor’s degree in Business Administration, English, Marketing, or a related field.
- Minimum 3 years of experience in proposal writing or bid coordination, preferably within the catering, facilities management, or service industry.
- Strong understanding of FM and catering service scopes, manpower planning, and operational requirements.

- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and PDF editing tools.

- Understanding of pricing structures and technical proposals in the FM & catering sectors.
