About the Client:

Our client is an entrepreneur operating two growing businesses, a transportation company and a technology company. He is currently hiring one Virtual Assistant to support his transportation business, with the potential for a future second hire to support his technology company.

About the Role:

The Virtual Assistant will provide administrative and operational support to ensure smooth daily operations across the transportation business. This role requires someone highly organized, detail-oriented, proactive, and comfortable managing time-sensitive logistics tasks.

Key Responsibilities
  • Administrative Support: General admin tasks, email management, document handling, scheduling, and communication assistance.
  • Invoicing & Billing: Create, update, and manage invoices; ensure accuracy of billing information.
  • QuickBooks: Perform bookkeeping tasks, reconcile accounts, update financial entries, and maintain organized financial records.
  • Automobile transportation Dispatch Support: Potential oversight of dispatch operations, ensuring all dispatchers have the information, documents, and resources needed to perform effectively.
  • Reporting: Prepare weekly reports, summaries, and updates for management review.
  • Coordination: Communicate with drivers, vendors, dispatchers, and internal stakeholders as needed.
Qualifications & Requirements
  • 2+ years of administrative or operations support experience
  • Experience with invoicing and bookkeeping (QuickBooks strongly preferred)
  • Strong organizational and multitasking skills
  • Excellent written and verbal English communication
  • Background in transportation/logistics is a plus
  • Tech-savvy and able to learn new systems quickly
  • Proactive problem-solver with strong attention to detail
