Executive Assistant

You will serve as the primary point of contact for internal and external communications on all matters pertaining to the Office of these C-levels. You will also act as a liaison to the board of directors and senior management teams, organize and coordinate executive outreach and external relations efforts and oversee special projects.
Responsibilities
- Complete a broad variety of administrative tasks for the CRO/CFO including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas.
- Provide a bridge for smooth communication between the CRO/CFO and internal departments. Manage CRO/CFO travel budgets & maintain a monthly log of all expenses and allocations.
- Coordinate and manage the company's participation in all global external conferences; ticket purchases; accommodation & flight management.
- Coordinate and manage internal monthly management meetings, global quarterly KIKs and K2s annual employee reward trip; sourcing venues; compiling agendas/ activities; arranging accommodation; flight management & all clerical needs.
- Assist the extended K2 executive team, including the Chief People Officer.
- Format information for internal and external communication - memos, emails, presentations & reports.
- Conduct research, collect and analyse data to prepare reports and documents.
- Negotiate company rates with suppliers and maintain supplier relationships.
- Devise and maintain filing systems.
- Record, transcribe and distribute minutes of monthly investor Board meetings.
- Review operating practices and implement improvements where necessary.
- 5% attend to any miscellaneous office / business needs. (Office furniture removals, clerical needs, parking licenses, supplies)
- 5% private PA duties. (Private house management)
- Maintains discretion and confidentiality in relationships with all board/executive team members.
Required
- Proven work experience as a Senior Executive Assistant, Executive administrative assistant or similar role.
- Experience working with / for a C-level or HNW individual.
- Expert level written and verbal communication skills.
- Demonstrate proactive approaches to problem-solving with strong decision-making capability.
- Ability to work autonomously and within strict deadlines, to high standards with fastidious accuracy and attention to detail.
- Self-awareness and accountability are essential.
- A high degree of maturity, self-confidence and strong interpersonal skills.
- Excellent at forging relationships across all levels of the business and with customers.
- Ability to work out of hours at short notice and across multi-time zones.
- Solid IT skills are required, particularly Word, Excel, PowerPoint and knowledge of working on GDOCs with accuracy, speed and an ability to 'get things done' are vital.
