A leading recruitment agency in Mexico is seeking a Senior Executive Assistant to provide comprehensive support to C-level executives. Responsibilities include managing calendars, coordinating travel, organizing meetings, and maintaining communication with internal and external stakeholders. The ideal candidate has proven experience and strong problem-solving skills. This position requires discretion, maturity, and the ability to work autonomously.

Formación

  • Proven work experience as a Senior Executive Assistant or similar role.
  • Experience working with a C-level executive.
  • Ability to work autonomously within strict deadlines.

Executive Assistant

You will serve as the primary point of contact for internal and external communications on all matters pertaining to the Office of these C-levels. You will also act as a liaison to the board of directors and senior management teams, organize and coordinate executive outreach and external relations efforts and oversee special projects.

Responsibilities
  • Complete a broad variety of administrative tasks for the CRO/CFO including: managing an extremely active calendar of appointments; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas.
  • Provide a bridge for smooth communication between the CRO/CFO and internal departments. Manage CRO/CFO travel budgets & maintain a monthly log of all expenses and allocations.
  • Coordinate and manage the company's participation in all global external conferences; ticket purchases; accommodation & flight management.
  • Coordinate and manage internal monthly management meetings, global quarterly KIKs and K2s annual employee reward trip; sourcing venues; compiling agendas/ activities; arranging accommodation; flight management & all clerical needs.
  • Assist the extended K2 executive team, including the Chief People Officer.
  • Format information for internal and external communication - memos, emails, presentations & reports.
  • Conduct research, collect and analyse data to prepare reports and documents.
  • Negotiate company rates with suppliers and maintain supplier relationships.
  • Devise and maintain filing systems.
  • Record, transcribe and distribute minutes of monthly investor Board meetings.
  • Review operating practices and implement improvements where necessary.
  • 5% attend to any miscellaneous office / business needs. (Office furniture removals, clerical needs, parking licenses, supplies)
  • 5% private PA duties. (Private house management)
  • Maintains discretion and confidentiality in relationships with all board/executive team members.
Required
  • Proven work experience as a Senior Executive Assistant, Executive administrative assistant or similar role.
  • Experience working with / for a C-level or HNW individual.
  • Expert level written and verbal communication skills.
  • Demonstrate proactive approaches to problem-solving with strong decision-making capability.
  • Ability to work autonomously and within strict deadlines, to high standards with fastidious accuracy and attention to detail.
  • Self-awareness and accountability are essential.
  • A high degree of maturity, self-confidence and strong interpersonal skills.
  • Excellent at forging relationships across all levels of the business and with customers.
  • Ability to work out of hours at short notice and across multi-time zones.
  • Solid IT skills are required, particularly Word, Excel, PowerPoint and knowledge of working on GDOCs with accuracy, speed and an ability to 'get things done' are vital.
