This role will see you work in Travel Design and Bookings & Operations. Note: you will not do these roles concurrently; you will do one or the other for a period of time according to seasonality and business needs.

As a Travel Designer you will be responsible for designing accurate, curated itineraries for clients and actively involved in the sales process including communicating with the client via email and telephone. You will have a sales budget which you will need to achieve.

As a Bookings & Operations Assistant, you will be responsible for all aspects of bookings as well as maintaining the client relationship from the time their booking is confirmed through when they depart. You will also manage supplier relationships.

Key tasks

  • As a Bookings & Operations Assistant you will manage client relationships from booking to departure. This includes:
  • Dealing with emergencies
  • Checking that clients have everything before their arrival
  • Communicating with clients during their tours in order to give them reconfirmation and last needed information
  • Booking any type of service (transfers, tickets, hotels, activities, guides, etc.) and reconfirming with suppliers and hotels prior to tour commencement
  • Follow up supplier invoices & liaise with the accounts department
  • Itinerary checks: timings / meeting points / contact details for various services entered into our itinerary system & have been communicated to clients and double checked with suppliers
Who you are
  • You have an almost maniacal attention to detail, and the ability to manage in a fast-paced, deadline-driven environment
  • You’re not afraid to pick up the phone and speak to clients & suppliers
  • You love the sales process and excel in understanding client needs and closing the business
  • You have a C1 level of written & spoken English
  • You have a C1/2 level of written & spoken Italian
  • You work well in a team environment but are able to work independently & make quick, smart decisions to resolve problems

  • You are not afraid to ask questions and come up with new ideas. At Luxe we love initiative!
  • You thrive in a remote, work-from-home environment (our team all work remotely)
  • You go the extra mile both for clients as well as your fellow team members
  • You have a vibrant personality, a ‘can-do’ attitude and a curious, positive outlook on work & life
  • You are a rapid learner of new technologies and systems (we use the Google Workspace package including Google Sheets, Trello & an online itinerary creation system)
  • You are committed to a career in tourism
What we offer you
  • A stimulating work environment with a fun, proactive team that helps each other
  • Fully remote position
  • Work computer
  • Interaction with clients from all over the world & suppliers from many different countries
  • Contract: apprendistato professionalizzante CCNL Turismo (to be eligible for this type of contract you need to be under 30 years of age according to Italian employment law) or 30 and over and currently receiving NASPI unemployment benefits
