Responsibilities
  • Helping clients and vendors with documents, answering questions and emails (training provided), negotiations, finding and implementing vendor requests, and coordinating details
  • Drafting different letters including Conflict Resolution
  • Administrative duties to assist other departments in the firm when needed
  • Coordinate with overseas and local teams on various projects
  • Document management
  • Slack channel management and coordination with other teams
  • Working with clients (USA) to assist them with their needs
  • On-call support via Skype/Zoom to work through issues with staff and clients, assist and train
  • Video for training modules (if needed)
  • Manage data in spreadsheets and reports
  • Keep records and reports up to date
  • Organize and schedule meetings and events when needed
  • Support administrative tasks across departments
Qualifications
  • At least 5+ years of proven experience as a Virtual Assistant or relevant role, including 2 years as General Admin
  • At least 1 year of experience with a CPA/CA firm, medical billing, law firm, collections, insurance, or any financial organization
  • Familiarity with current technologies, like desktop sharing, cloud services, and VoIP
  • Experience with word-processing software and spreadsheets (e.g. MS Office)
  • Knowledge of online calendars and scheduling (e.g. Google Calendar)
  • Excellent phone, email, and instant messaging communication skills
  • Excellent time management and solid organizational skills

Hours, Location & Availability
  • Our USA business hours include mandatory overlap (8:00 am to 12:00 noon Arizona time)
  • Hours for some departments may be fixed or may vary depending on tasks/projects
  • Admins are expected to work a minimum of 40–50 hours per week; during tax season, additional hours and weekend work could be required
  • Permanent work from home with consistent and reliable hours
