We are seeking a highly organized and proactive Executive Personal Assistant to support our executive team. This key role will involve managing schedules, coordinating communications, and ensuring the smooth operation of the executive office. The ideal candidate will possess exceptional multitasking abilities, outstanding communication skills, and a keen attention to detail.
Key Responsibilities:
Schedule Management: Maintain and manage the executive’s calendar, including scheduling appointments, meetings, and travel arrangements.
Communication: Serve as the primary point of contact between the executive and internal/external stakeholders. Screen and prioritize phone calls, emails, and other forms of correspondence.
Meeting Coordination: Organize and prepare materials for meetings, including agendas, minutes, and action items, ensuring all necessary logistics are in place.
Task Management: Assist in tracking and managing projects and initiatives, ensuring timely follow-up and execution of tasks.
Research & Documentation: Conduct research as needed and prepare reports, presentations, and other documents to support executive decision-making.
Confidentiality: Handle sensitive information with discretion and confidentiality, maintaining the highest level of professionalism.
Administrative Support: Assist with day-to-day administrative tasks, such as expense reporting, purchasing supplies, and maintaining office organization.
Qualifications:
Education: Bachelor’s degree in business administration, management, or related field preferred.
Experience: Minimum of 3 years of experience as an executive assistant or in a similar role, preferably supporting senior-level executives.
Skills:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
Excellent verbal and written communication skills.
Strong organizational skills with the ability to prioritize and manage multiple tasks effectively.
High level of discretion and confidentiality.
Ability to work independently and collaboratively within a team.
