Overview

We are seeking an organized GA & Formalities Officer to join our dynamic team in Jakarta. In this full-time position, you will be responsible for providing comprehensive general affairs and expatriate administrative support, ensuring seamless operations and compliance with relevant regulations.

Responsibilities
  • Coordinate, manage and renewal all expatriate-related administrative tasks, including visa/work permit applications and renewals (RPTKA, IMTA, VITAS, KITAS, MERP, STM, and SKTT).
  • Work closely with external legal agents and ensure compliance with relevant labor and immigration laws.
  • Liaising with government authorities such as Ministry of Manpower, Immigration Office, Police Department, and Civil Registry.
  • Oversee general office management duties such as purchasing office & pantry supplies, and managing vendor relationships (cleaning service, security, building management).
  • Monitor and coordinate the maintenance of office facilities (electricity, AC, vehicles, etc.).
  • Arrange business travel and accommodation for employees.
  • Manage office asset documentation and inventory control.
  • Assist in organizing internal events and company-wide functions.
  • Organize and maintain comprehensive filing systems, both physical and digital, to ensure efficient document management.
Qualifications
  • Minimum 3 years of experience in a similar general affairs or expatriate administration role, preferably in a multinational or professional services environment.
  • Strong understanding of expatriate regulations in Indonesia.
  • Fluency in English (both written and spoken) is a must.
  • Proficient in Microsoft Office suite, with excellent data entry and administrative skills.
  • Excellent communication and interpersonal skills, with the ability to liaise effectively with internal and external stakeholders.
  • Meticulous attention to detail and a proactive, problem-solving mindset.
  • Comfortable with manual and automation administration process.
