Job summary

A villa management company is seeking a Property Management Administrator in Bali to oversee administrative duties, assist with financial reporting, and support team operations. The ideal candidate will have strong organizational skills, a proactive attitude, and proficiency in digital tools such as Google Workspace. This is an on-site role requiring a minimum of 1 year of relevant experience. Working hours are Monday to Friday, 10:00 AM – 6:00 PM.

We are seeking a highly organized and proactive Property Management Administrator to join our growing team at Bali Dream Living. As we expand our villa management portfolio across Uluwatu, we are looking for someone who values tradition in service excellence while embracing modern systems and smarter ways of working. This individual will play a vital role in powering seamless day-to-day operations. The role requires strong communication skills, excellent attention to detail, and a passion for hospitality and real estate within Bali’s thriving tourism market.

Key Responsibilities
Administrative & Reporting
  • Prepare monthly administrative, operational, and financial reports
  • Upload and manage villa inventory, receipts, and documents in Google Drive
  • Compile weekly reports on repairs, consumables, and operational updates
Financial & Procurement Coordination
  • Prepare weekly payout reporting for finance alignment
  • Coordinate utility payments (electricity, water, garbage, laundry) and monitor invoice deadlines
  • Review supplier invoices, resolve discrepancies, and track purchasing budgets
  • Request quotes for operational items and secure approvals from management
Team Support
  • Assist with Villa Manager scheduling and internal communication
  • Monitor staff updates and operational follow-through
  • Coordinate concierge and external service providers for operational needs
Qualifications
  • Minimum 1 year of experience in administration, hospitality, or property management
  • Proficiency in Google Workspace, spreadsheets, and digital systems
  • Strong organization and multitasking abilities in a fast-paced environment
  • Excellent written and verbal communication skills in English
  • Positive attitude, solution-oriented mindset, and willingness to grow with the company
  • Preferably experience in real estate admin or PA roles (not essential)
  • Must be able to work well independently and as part of a team
  • Has own transport
  • Must live in Pecatu/Uluwatu area or be willing to relocate
