Primary Duties

The ideal candidate will bring a methodical approach to handling project documentation, leveraging both project management skills and an eye for detail to track application progress and ensure accurate, timely processing. You will coordinate with various teams, customers, and contractors to retrieve necessary information, ensure smooth workflow, and identify areas for continuous improvement. Your ability to maintain clarity and organization in complex, data-heavy environments will be key in ensuring rebate applications are processed efficiently.

As a liaison between internal departments and external stakeholders (including contractors, trade allies, customers, and utility representatives), you’ll work to resolve challenges, provide updates, and ensure all parties are aligned with program requirements.

Key Responsibilities
  • Review, validate, and process commercial rebate applications to ensure compliance with utility program requirements and financial accuracy.
  • Coordinate with customers, contractors, and utilities to collect required documentation and resolve application issues.
  • Manage rebate approvals, signatures, and timely submissions to utility partners.
  • Monitor project timelines, budgets, and task expenses to ensure milestones are met.
  • Maintain organized documentation and prepare reports on rebate status, savings, and performance metrics.
  • Collaborate with auditors, program managers, and utility representatives to align on program goals and resolve issues.
  • Identify process inefficiencies and recommend improvements to streamline rebate workflows.
  • Adapt to evolving program requirements and prioritize multiple projects in a dynamic environment.
Experience
Required Skills
  • Degree in energy efficiency, administration, project management, data analysis, or sustainability.
  • Proficient use of MS Excel for tracking project data, analyzing energy savings, and maintaining comprehensive spreadsheet records.
  • Strong organizational and communication skills, with the ability to manage multiple priorities while maintaining accuracy in detailed tasks.
  • A problem-solving mindset, with the ability to identify and address challenges through strategic, data-driven decision-making.
  • Demonstrated ability to work cross-functionally, build relationships, and adapt to evolving project needs.
Preferred Skills
  • 1+ years of experience in energy efficiency programs, rebate processing, administration, or project coordination.
  • Proficiency in Microsoft Office; experience with CRM or rebate tracking systems is a plus. Knowledge of utility rebate programs (CenterPoint, Xcel, or others) is strongly preferred.
