Overview

South Reading and Shinfield Group Medical Practice is a long established large GP Practice, rated GOOD in all categories by CQC. The Practice is located across two sites in South Reading. We are seeking an enthusiastic Medical Secretary to provide secretarial and administrative support to the GPs, clinical staff and practice manager. This position includes covering for members of the administration and reception team when required. Closing date: 30 September 2025.

Responsibilities
  • Provide an efficient copy typing and word processing service for GPs and health professionals, including typing letters, reports, patient referrals, minutes, memorandums, etc., accurately and to a high standard.
  • Organise and manage patient referrals; retrieve medical records and assist the completion of medical/insurance records; file patient records and correspondence in patient medical records (DOCMAN).
  • Handle incoming and outgoing telephone calls, take messages, and deal with queries to facilitate timely communications.
  • Maintain the two-week wait register in an accurate and secure manner.
  • Assist with gathering statistics and information when required.
  • Provide cover for members of the administration, secretarial and reception teams during sickness or annual leave, and when called upon.
  • Receive and dispatch mail and maintain a robust filing and administrative system.
  • Schedule patient appointments and procedures; prepare and maintain patient medical records.
  • Communicate with patients, healthcare professionals and insurance companies; ensure compliance with medical laws and regulations; maintain confidentiality at all times.
  • Perform general office duties such as answering telephones and managing emails; respond to queries from patients.

To receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communications, taking messages and dealing with queries. To maintain the two-week wait register in an accurate and secure manner. To assist with the gathering of statistics and information when required. To provide cover for the Secretarial, Administration and Reception team during periods of sickness and annual leave and other times when called upon. To receive and dispatch mail and maintain a robust system. To maintain an invoice log.

Person Specification
Qualifications
  • Minimum 1-year Medical Secretary experience
  • Proven experience in a GP/NHS department environment would be highly desirable
  • Educated to a high standard of GCSE in Maths & English
  • Strong IT skills in MS Word, Excel and Outlook; knowledge of EMIS is desirable
  • Tact and diplomacy in direct and indirect emotional circumstances
  • Able to get on with others and be a team player in a sometimes pressurised and time-sensitive environment
