Description du poste

To strengthen our Fragrances team in Warsaw, Poland, we are looking for an experienced Project Coordinator.

In this role, you will play a key part in coordinating and managing fragrance-related projects across Central and Eastern Europe. Working closely with Account Managers, the Fragrances Director, and cross‑functional teams, you will contribute to delivering high‑quality solutions and guarantee customer satisfaction.

Responsibilities
  • Provide administrative and pro‑active support to the Fragrances Director and Account Managers by entering customer projects, requests, preparing offers, and dealing with other inquiries.
  • Enter and monitor fragrance projects in the internal database and ensure all required documentation is complete.
  • Manage project timelines, monitor deadlines, and maintain customer data in the internal system.
  • Maintain and distribute tracking lists to Account Managers and ensure up‑to‑date project information.
  • Coordinate customer requests and liaise with the legal and regulatory departments.
  • Prepare and maintain price offers in agreement with Account Managers, including price updates in the internal database.
  • Monitor sampling processes and ensure timely follow‑up.
  • Support Customer Service by controlling product references, prices, and delivery details.
  • Ensure that customer needs are handled efficiently, professionally, and to complete satisfaction.
  • Assist in resolving issues or complaints and act as a trusted contact to customers.
  • Collaborate closely with the Austrian and Polish affiliates as well as the French Headquarters (Sales, Marketing, R&D, Sampling, Legislation, and Pricing departments).
  • Support the team in administrative, organisational, and operational matters.
  • Manage day‑to‑day project‑related activities, analyse data, and prepare reports for management.
Profile
  • Bachelor's degree or similar education in Business Administration, Marketing, or a related field.
  • Minimum 3 years of experience in project coordination or back office.
  • Experience in the Fragrance industry would be an asset.
  • Strong organisational skills with excellent attention to detail.
  • Proactive and structured approach to managing multiple ongoing projects.
  • Excellent communication skills and a customer‑oriented mindset.
  • Proficiency in MS Office; experience with ERP or CRM systems is an advantage.
  • Fluent in English; German or French knowledge is a plus.
