You will provide comprehensive support to the France Country Manager, contributing to day-to-day administrative tasks, coordinating sales activities, and ensuring smooth operations within the French market. This includes close collaboration with both internal teams and external partners, as well as involvement in event logistics, facilities coordination, and finance-related support.
Key Responsibilities
1. Personal Assistance
- Proactively manage schedules, appointments, and travel itineraries (booking flights, hotels, and transport within Visa systems).
- Anticipate needs by preparing documentation, meeting agendas, and briefing materials.
- Screen and direct incoming communications (calls, emails, visitors) and maintain strict confidentiality.
- Coordinate meeting details, room bookings, and other logistics—ensuring the France Country Manager is fully prepared for engagements.
- Build trusted relationships across teams, central functions, and external partners.
- Uphold professionalism, discretion, and excellent judgment when handling confidential or sensitive matters.
2. Sales Coordination
- Collaborate with cross-functional teams to help prepare presentations, and client communications.
- Handle invoice tracking and collaborate with finance teams to meet deadlines.
- Consolidate and maintain client information, supporting the Country Manager, especially for crisis management exercise, event invitation, etc.
3. Events
- Coordinate logistics for France events (cross functional but exclude FBL, EU, and Global executive visits and events), including scheduling meeting rooms, arranging catering, and communicating with attendees.
- Help organise celebrations, gifts, and recognition for employees in partnership with Facilities, Corporate Communication, SCO, and HR.
- Experience: 3–5 years in high-level administrative roles (e.g., executive assistance, project coordination, or similar).
- Education: High school completion with relevant certification, diploma, or degree in business, management, finance, or hospitality (beneficial but not mandatory).
- Skills:
- Bilingual French and English, with advanced proficiency in both.
- Strong organisational, project management, and problem-solving skills in a fast-paced environment.
- Experience in coordinating events or supporting corporate functions.
- Proficient in Microsoft Office Suite (PowerPoint, Excel, Word, Outlook).
- Ability to multi-task, prioritise deadlines, and maintain high attention to detail.
- Excellent communication skills, adaptable, and calm under pressure.
