A fast-growing European SaaS company is seeking an Executive Administrative Assistant in Sophia Antipolis. This high-impact role involves coordinating HR onboarding, managing finance-related tasks, and ensuring smooth day-to-day operations. The ideal candidate must be bilingual in English and French, exceptionally organized, proactive, and able to handle confidential information. This position offers full-time CDI with top-tier health insurance and reimbursement for business travel.

Maple Technologies is a fast-growing European SaaS & AI company building the next-generation Business OS for global enterprises (retail, hospitality, food, and operations). With international clients and teams across Europe, we are entering a new phase of scale, and we’re looking for a highly organized, trusted Executive Administrative Assistant to help run the engine of the company.

This is a high-impact role at the center of Maple’s daily operations, working closely with leadership, finance, HR, and external partners.

What you will do

You will be responsible for keeping Maple’s administrative, financial, and people operations running smoothly.

HR & People Operations
  • Coordinate employee onboarding, contracts, documents, and HR files
  • Track absences, holidays, benefits, and compliance
  • Liaise with payroll, mutuelle, and social organismes
  • Support visas, relocations, and Talent Passport processes
Accounting & Finance Coordination
  • Collect and organize invoices, receipts, and expense reports
  • Work directly with our accounting firm (URSSAF, TVA, declarations, etc.)
  • Track payments, salaries, reimbursements, and cash movements
  • Coordinate with banks for transfers, accounts, and financing requests
Executive & Company Operations
  • Manage calendars, meetings, and business travel for leadership
  • Prepare documents, emails, and reports
  • Coordinate with clients, partners, and internal teams
  • Help keep priorities, follow-ups, and logistics perfectly aligned
Office & Operations
  • Ensure smooth day-to-day office operations in Sophia Antipolis
  • Coordinate vendors, equipment, tools, and internal logistics
  • Support visiting teams and international colleagues
Who you are
  • Native or fully bilingual in English and French (mandatory)
  • Exceptionally organized, reliable, and discreet
  • Comfortable handling confidential financial, legal, and HR information
  • Proactive — you anticipate problems before they happen
  • Comfortable working in a fast-moving, international scale-up
  • Experience in administration, HR, accounting coordination, or executive support is a strong plus
