Position Overview
Our client is a global IT service provider helping companies modernize, manage and optimize on technological investments. The Executive Assistant (EA) provides high-level, strategic and administrative support to the CEO and executive leadership team. This role requires exceptional organizational skills, discretion and business judgment, as well as the ability to operate in a fast-paced environment within the IT services industry. The EA will serve as a communication bridge, manage complex priorities and support strategic initiatives that drive company success.
What will you be doing?
- Executive Support
- Provide proactive administrative and strategic support to the CEO and executive leadership team, anticipating needs and ensuring leaders are fully prepared
- Manage complex calendars, coordinate meetings across multiple time zones, and prepare agendas and materials
- Draft, edit, and distribute executive communications, presentations, and reports with professionalism and accuracy
- Coordinate travel logistics and process expense reports in a timely manner.
- Board & Stakeholder Engagement
- Support preparation and distribution of materials for Board of Directors meetings and senior forums
- Liaise with internal and external stakeholders, ensuring effective communication and timely follow-ups
- Communication & Operations
- Act as a communication hub between executives, employees, and partners
- Maintain meeting records, track action items, and ensure timely completion
- Support internal communication initiatives in partnership with HR and leadership
- Event & Project Management
- Plan and execute leadership offsites, town halls, client events, and internal meetings
- Provide project coordination support on strategic initiatives as needed
- Office and Team Support
- Support day-to-day office operations and HR initiatives as required
Must Haves
- 7+ years of executive support experience at the C-suite or senior leadership level
- Strong organizational and prioritization skills with the ability to manage multiple competing demands
- High level of discretion, emotional intelligence, and professionalism in handling sensitive information
- Exceptional written and verbal communication skills
- Advanced proficiency in Microsoft Office (Word, PowerPoint, Excel) and collaboration tools (i.e. Teams, SharePoint)
Nice-To Haves
- University degree or equivalent college diploma
- Background in IT services, technology or professional services
- Familiarity with AI productivity tools (i.e. Copilot)
