Overview

RLCore (https://rlcore.ai/) is a seed startup based in Edmonton, Alberta, Canada, pioneering the application of reinforcement learning (RL) to tackle real-world industrial control challenges. We work with utilities & industries across water, chemical, oil & gas, mining, etc. to improve operational efficiency, safety, and performance using real-time AI-driven optimization. We operate as a Canadian parent company with a U.S. subsidiary and are building the operational foundation to scale responsibly.

Position Overview

We are seeking a highly organized and execution-oriented Business Operations Manager to oversee finance, payroll, compliance, and administrative systems across our Canadian parent and U.S. subsidiary.

This is a hands-on, high-trust role focused on operational accuracy, financial discipline, and strong follow-through. You will work closely with company leadership to execute existing systems reliably and improve them incrementally as we grow. This role is foundational to the company’s operational stability.

Responsibilities

Finance & Payroll Operations

  • Manage Canadian and U.S. payroll (multistate coordination)
  • Oversee bookkeeping (QuickBooks, Xero, or similar)
  • Manage accounts payable and receivable
  • Reconcile bank accounts and maintain clean monthly financial records
  • Monitor cash flow and structured expense tracking
  • Manage domestic and cross-border intercompany transfers, cost allocations
  • Support Canadian and U.S. CPAs during tax season
  • Coordinate SR&ED documentation and claims

Corporate Compliance & Vendor Management

  • Serve as primary contact with banks
  • Track vendor contracts and recurring subscriptions, obligations
  • Coordinate insurance renewals and compliance deadlines
  • Maintain organized corporate records
  • Monitor state level registrations (in US), and cross border compliance requirements

Benefits & Equity Administration

  • Maintain equity records and grant tracking (Pulley or similar)
  • Coordinate benefits enrollments
  • Manage accurate payroll and employment documentation
  • Handle sensitive financial and personnel information with discretion

People Operations & Administrative Support

  • Manage employee onboarding, logistics and related documentation
  • Track PTO and maintain employee records
  • Support offer letters and employment agreements
  • Support office logistics and supplies in Edmonton
  • Competitive analysis, Prospect Lists, Industry event logistics (nice to have)
Required Qualifications
  • 5–7 years experience in business operations, finance operations, or similar role
  • Hands-on experience managing payroll and bookkeeping
  • Strong understanding of basic accounting principles
  • Experience coordinating with external CPAs, Vendors, Agencies
  • Highly organized with excellent attention to detail
  • Strong follow-through and task ownership
  • Comfortable working independently in a small fast moving team
  • Strong written and verbal communication skills
  • Proficiency in Excel, Spreadsheets, modern productivity tools
  • MBA / Bachelors degree in business, finance, strategy, operations or equivalent
Nice-to-Have
  • Experience in a startup or early-stage company
  • Exposure to cross-border (Canada/U.S.) operations
