Role Overview
We are seeking a reliable, detail-oriented Virtual Assistant to support the day‑to‑day administrative and client operations of a growing service‑based business. This role is ideal for someone who thrives in structured tasks, enjoys client communication, and can help streamline processes so the business owner can focus on growth and strategy. The role will begin part‑time and may expand as the business scales.
Core Responsibilities
Client Communication & Support
- Serve as the primary point of contact for client inquiries via email and messaging platforms
- Respond to new client inquiries in a timely, professional, and friendly manner
- Handle client questions related to payments, invoices, and service coordination
- Communicate with service providers (e.g., sitters/tutors) regarding payment‑related questions or issues
Billing & Payments
- Prepare and send invoices to clients
- Track incoming payments and follow up on outstanding balances
- Ensure payment records are accurate and up to date
- Coordinate outgoing payments to service providers as needed
Administrative & Operational Support
- Draft and prepare emails for clients and families based on provided guidance
- Assist with organizing workflows and improving operational efficiency
- Support general administrative tasks to reduce the owner’s daily workload
Marketing & Email Support (Light)
- Assist with marketing‑related tasks such as:
- Drafting marketing emails based on provided ideas
- Creating simple email sequences
- Formatting and organizing outreach communications
- Execute tasks efficiently while the business owner provides strategic direction
Tools & Systems
- Email (primary communication channel)
- Messaging platforms (e.g., Slack or similar)
- Invoicing and basic payment tracking tools
- No specific software experience required — training will be provided
Must‑Have Qualifications
- Excellent written English and professional communication skills
- Strong attention to detail and organizational skills
- Comfortable handling repetitive administrative tasks accurately
- Ability to manage client‑facing communication with professionalism and empathy
- Reliable, responsive, and proactive work style
Nice‑to‑Have
- Prior experience supporting small businesses or service‑based operations
- Experience with invoicing, billing, or client coordination
- Interest in marketing or email outreach support
Work Schedule
- Approximately 20 hours per week
- EST working hours preferred
- All work conducted via email and messaging (no phone calls required initially)
Compensation
$500 - $700 a month
