A prominent travel entity is recruiting for a highly detail-oriented Logistics Support Officer with a minimum of three years’ experience in the travel industry to support the delivery of accurate, high-quality guest itineraries. A strong understanding of itineraries, travel logistics, and destination flow is essential, with knowledge of Southern and East Africa considered a strong advantage.

This is a behind-the-scenes operational role focused on supporting travel consultants by managing and maintaining itinerary data within the Safari Portal system. The successful candidate will ensure all itineraries are complete, consistent, and guest-ready, helping to reduce errors, improve turnaround times, and streamline internal workflows. While the role is primarily administrative and operational, there may be opportunities for client interaction as the role develops.

The ideal candidate will be highly organised, meticulous, and able to work both independently and collaboratively in a fast-paced environment, playing a critical role in ensuring seamless travel experiences and high levels of guest satisfaction. Position is based in Fourways.

Responsibilities
Safari Portal Management

Take ownership of finalising and comprehensively populating Safari Portal itineraries, ensuring every aspect of the travel plans is detailed, accurate, and clearly presented.

Collaborate with the lead consultant to gather, verify, and input all relevant information, including:

  • Transfer arrangements
  • Required documentation
  • Included services

Ensure the Safari Portal is fully updated with all required travel details and documentation at least 60 days prior to travel, proactively supporting consultants in meeting pre-travel quality standards.

Identify and resolve missing or inconsistent itinerary data, escalating issues to the lead consultant when necessary.

Maintain consistent formatting, accuracy, and presentation across all Safari Portal itineraries.

Monitor and update the Notify Agent feature to ensure notifications are correctly reflected in the system.

Proactively initiate the messaging function for all guests to ensure timely and effective communication through the Safari Portal.

Quality Control & Itinerary Validation

Conduct final checks across all itinerary components, including:

  • Costing sheets
  • Safari Portal entries

Verify that supplier details, rates, inclusions, and logistics align with costing and itinerary documentation.

Document & Information Administration

Upload and manage guest documentation for both FIT and group bookings.

Ensure the Travel Wallet is fully populated with all required files, including:

  • Invoices and receipts
  • Vouchers
  • Supporting travel documents (PDFs and JPEGs)

Ensure all documents are clearly labelled, correctly filed, and securely stored within the Safari Portal.

Organise Travel Wallet contents for easy access by guests and consultants.

Download and store guest-supplied documents in the appropriate OneDrive guest folder.

Confirm that supplier rates, inclusions, and operational details are accurately reflected in the Safari Portal.

Update supplier information when new details are issued by logistics or management.

Work with consultants to ensure supplier updates are applied across all relevant itinerary components.

Cross-Team Coordination

Work closely with:

  • Logistics consultants
  • Guides
  • Finance teams

Clarify and resolve itinerary-related queries as needed.

Coordinate with management (Judy and Tanya) on task allocation based on rotation, consultant schedules, or urgency.

Maintain and enforce consistent quality standards across all Safari Portal itineraries.

Identify recurring gaps or bottlenecks and recommend workflow or system improvements.

Support team-wide adoption of new tools, templates, and best practices.

Attend all Safari Portal training sessions and update releases.

Report back to the team on how new features will be integrated into existing workflows to ensure seamless and continuous improvement.
