A leading recruitment firm is seeking a Technical Team Support and PA to the Director in Pretoria, South Africa. Our client in the Construction industry is currently looking for a Technical Team Support and PA to the Director, in Pretoria.
To assist or support the technical team with town planning and site acquisition activities of the company. Assist the Director on operations of the company, to develop, lead, report and manage Town Planning, Site Acquisition and Power Connection portfolios, costs, and invoicing. Managing the diary of the director: reminding of meetings, preparing material for meetings, if necessary, attend meetings, if necessary, chair meeting in absence of director when required. Scheduling company meetings: take minutes and action points, creating and sharing meeting links where needed, schedule and attend individual meetings with employees. Updating of progress trackers: adding new sites, updating excel trackers. Monitoring attendance and providing feedback. Monitoring trips on company tracker, write report on weekly trips taken and submit to Director. Create files and file necessary documents (both soft and hardcopies). Filing: individual progress trackers and different clients progress trackers. Liaising with clients and assisting with requests from same. Assisting Town planners, Site Acquisition, Electrical Technician, Runners and other staff with: scanning documents, translating documents, writing motivation for objection letters, calling municipalities, communicating with landlords, compiling applications (Town Planning and Power Connection) and any other tasks they need assistance with. Leasing: assist with lease rectifications, amendments and communicating with Landlords to obtain FICA documents (ID copy, Latest bank statement). Invoicing: go over all trackers to create list of items to invoice for various clients; creating invoices, following up on invoices, uploading supporting documents, assist with creating quotes. Link of communication between the Director and Employees (inform the Director of activities in the company; requests from employees). Submit employee leave applications and file. Making and answering calls. Send POP requests to Director (Adverts, Town Planning, Electrical Technician etc.) and make follow ups on same. Keeping track of Employee's Monthly targets and updating same. Travel arrangements: Booking of flights, car rentals, booking accommodation. Assist with planning and execution of team buildings. Assist with ensuring necessary office supplies (stationary, paper, etc.) are available.
National Diploma in Business Administration, Management and Operations or a related field. Minimum of 1 year Town Planning and Site Acquisition experience in the Telecom industry. Excellent leadership, communication, presentation, and negotiation skills. Excellent computer programs including Microsoft Office Suite, reporting skills, and other database / project management tracking tools. Highly motivated "self-starter", Initiator, and Innovative thinker. Working knowledge of email systems, computer hardware, and peripherals. Ability to read and interpret technical data. Good time-management skills. Excellent communication skills. Ability to work in a high-pressure environment.
Remuneration : R R per month.
