A leading health and beauty retailer in Midrand is seeking a Dispensary Category Assistant to support compliance management and stock management. The ideal candidate will have a background as a Pharmacist Assistant PBQ, with at least 3 years of experience, strong problem-solving, communication skills, and proficiency in SAP and Microsoft Office. Dis-Chem Pharmacies has an opportunity available for a Dispensary Category Assistant to join the Head Office team in Midrand.
You will be required to effectively support the Dispensary category in various functions not limited to Compliance Management, Stock Management, Human Resource administration and general office management.
Grade 12 – Matric or Senior Certificate
Pharmacist Assistant PBQ
Minimum of 3 years' experience as a Pharmacist Assistant PBQ.
Administration and Dispensary retail experience.
SAP and Microsoft Office (Excel, PowerPoint and Outlook)
Assist in ensuring pharmacies comply with all relevant statutes, regulations and directives, as well as best practices (GPP = Good Pharmacy Practice).
Be responsible for SAPC Pharmacy and Registered Staff legislative administration such as payments of fees, registration, fines, RPs.
Maintain and continuously update standard operating procedures, as directed.
Monitor, analyse, interpret, and communicate regulatory changes.
Escalate unresolved incidents or complaints to Senior Management.
Investigate negative GP values in the business unit and take appropriate actions to identify and rectify controllable errors.
Minimise, investigate, correct and report on business unit "dormant" stock on hand.
Identify and manage both stock shortages and excesses and take necessary action by moving stock between branches or advising Procurement to order more stock.
Facilitate stock Jabs for new drugs listed and / or promotional campaigns.
Accurately list, load and Jab any take-on articles as per Dis-Chem standard operating procedures.
Procurement of Dispensary Consumables (including investigation / negotiation of best price) and management of consumable stock on hand in all pharmacies.
Facilitation of both drug and consumable orders for new store openings.
Conduct background checks on the MIE system for new staff appointed.
Update and administrate pay rules for transfers, promotions, & appointments.
Collaborate with Dispensary Managers, Human Resources and Insurers to manage and document employee misconduct and record appropriate discipline for employees found to have committed compliance violations in accordance with Company procedures and Dispensary Quality Protocol.
Manage staff transfers, terminations, promotions and locum placements.
Manage all new student learners and interns and ensure all paperwork is completed accurately for payroll.
Assist to place interns and bursary staff who need to complete their service years as per bursary obligations.
Maintain a training calendar (electronic and manual) for SAPC Intern requirements.
Time-sely coordinate venues and organise catering services for scheduled category training.
Manage the daily / weekly / monthly agendas of the Category management team.
Arrange new meetings, conferences and appointments, as well as taking minutes—calendar / diary management, proactive follow-ups, bookings internal and external, refreshments, etc.
Organise and co-ordinate corporate travel for dispensary category when required.
File and update contact information of employees, customers, suppliers and external partners.
Capture and keep record of all Dispensary training related expenditure.
Procure uniforms for Dispensary and manage store orders.
Manage the Dispensary Incentive and campaign payments.
Build and maintain third-party vendor stakeholder partnerships.
Ensure that external vendors act according to agreed Service Level Agreements.
Ensure effective communication with all the external vendors.
Compile accurate pharmacy reports with regards to pharmacy license changes.
Report on HR incidents and errors and keep insurers up to date.
Track data and create reports to assist in the analysis of compliance issue patterns.
Complete any ad-hoc reports.
Stock reporting as necessary.
